Dove & Hawk are working in partnership with a leading global property consultancy who are seeking an experienced Office Manager to join their office in the City of London. The individual will be directly supporting the lettings team, ensuring the smooth progression of tenancies from point of offer to move‐in. The role will be extremely busy and requires an individual who is efficient, able to work to tight deadlines and possesses a strong analytical skill set with an excellent eye for detail.
Responsibilities
- Managing all aspects of daily office operations to ensure seamless functionality and a professional environment that reflects the company's standards.
- Providing administrative support to the estate agency team, including diary management, meeting coordination, client documentation preparation, and property marketing materials.
- Overseeing reception coverage, visitor management and ensuring exceptional client hospitality.
- Supporting compliance and the letting teams across four offices with obtaining AML from landlords, adhering to data protection requirements, and estate agency regulatory standards.
- Carrying out AML checks using Thirdfort.
- Sending T&C's to clients.
- Maintaining digital filing systems, ensuring proper document retention and confidentiality protocols.
- Supporting the teams in delivering exceptional client service.
- Creating new property instructions and remarketing.
- Booking in new marketing material.
- Checking GSC's, EPCs, EICRs, landlord licensing, land registry.
- Managing online Rightmove/Zoopla/On The Market portals.
Skills and Experience Required
- Proven office management administrative experience, ideally within property, estate agency.
- Exceptional organisational skills with meticulous attention to detail.
- Outstanding English written and verbal communication skills.
- Calm and focused under pressure and tight timelines.
- Thrives in a fast‐paced environment that requires ability to manage competing priorities and demands.
- Professional, polished manner with absolute discretion when handling confidential information.
- Proactive problem‐solver who anticipates needs and takes initiative.
Desirable: Knowledge of the London prime property market, experience with property management software or CRM systems such as RADAR, understanding of estate agency operations.
Salary £31,750 Base + Commission based on office performances
Working Hours Monday to Friday 8:30am - 6pm, office based
