Responsibilities

  • Retrieve and upload all invoices to QBO via a dedicated email address, ensuring they are addressed to the correct company.
  • Prepare and process supplier payments, ensuring the director signs off on all payments.
  • Upload invoices to Auto Entry software for accountants, using dedicated email addresses for each company.
  • Ensure invoices are paid from the correct company to which the costs relate.
  • Transfer funds between company bank accounts to maintain sufficient funds for expenses.
  • Submit dormant company accounts and confirmation statements to external accountants as agreed.
  • Maintain property deal ledgers on Excel, updating them promptly and ensuring accurate details for accountants.
  • Prepare profit and loss summaries for all deal ledgers.
  • Save sale and purchase completion statements in the relevant company folders for accountant access.
  • Prepare bank balance summaries of all bank accounts in the morning and afternoon for the director.
  • Act as the main point of contact for external accountants, providing necessary information to support the accounting process.
  • Notify accountants of all new company incorporations.
  • Maintain and update the internal list of companies for all ongoing deals.
  • Produce various reports for the director on an ad-hoc basis for land and property projects.
  • Use QBO to produce creditor reports and reconcile supplier invoice and payment discrepancies.
  • Ensure rental income is received for various rental properties, in line with rental agreements.
  • Review and submit tax returns.
  • Oversee and manage a finance administrator.

Skills and Experience Required

  • Minimum 5 years’ experience working in finance within the property sector.
  • Fully ACCA qualified – essential.
  • Data entry skills and strong knowledge of spreadsheets, especially Microsoft Excel.
  • Ability to work in a team as well as independently.
  • Trustworthy and discreet when handling confidential information.
  • Capability to work under pressure and meet deadlines.
  • Confidence to communicate effectively and accurately with senior management, customers, suppliers, and accountants.
  • QBO software knowledge preferred; training will be provided.

Working Hours

Monday to Friday 9:00am – 6:30pm, office based. Underground parking available.
