Full Time, Fixed-term maternity cover contract. Margot is Clover Groups latest hospitality opening - A stunning venue in the heart of Belfast, known for exceptional service, beautiful surroundings, and memorable guest experiences. We are currently seeking an organised, personable, and commercially minded Bookings & Events Coordinator to join our team on a maternity cover basis. This is a key front-facing role, responsible for managing all aspects of bookings, enquiries, and client relationships while maximising occupancy and revenue.
Key Responsibilities
- Manage and oversee all booking channels, including email enquiries, phone enquiries, walk-ins, and booking software.
- Ensure all enquiries are handled promptly, professionally, and in line with Margot’s service standards.
- Manage bookings to maximise venue occupancy and revenue.
- Process and manage deposits, pre-orders, special requests, confirmations, and amendments.
- Host the front door and guest arrival at busy periods.
- Liaise closely with senior management to place bookings and resolve any booking-related queries.
- Coordinate with the management team and kitchen regarding food and drink requirements for bookings and events.
- Oversee busy booking periods and support event setup where required.
- Meet with potential customers and corporate clients to showcase the venue and its facilities.
- Build and maintain strong relationships with corporate clients and large booking customers.
- Follow up on all non-guaranteed enquiries to convert interest into confirmed bookings.
- Proactively follow up with past clients to encourage repeat bookings.
- Handle customer complaints and feedback relating to bookings in a professional and solutions-focused manner.
- Oversee and support other team members involved in booking management when required.
- Maintain accurate and detailed booking records to support forecasting and planning.
- Ensure booking systems are kept up to date and meet quality standards through regular checks and clear communication with the General Manager and Head Office.
- Work closely with the marketing team to promote bookings, events, and venue offerings.
- Negotiate and agree pricing where appropriate to maximise revenue.
- Issue invoices and pro-forma invoices as required.
- Produce booking and performance reports as requested by Head Office.
Qualifications
- Highly organised with strong attention to detail.
- Confident communicator with excellent customer service skills.
- Commercially aware with the ability to maximise revenue opportunities.
- Comfortable managing multiple priorities in a fast-paced hospitality environment.
- Experience in bookings, events, hospitality administration, or a similar role is desirable.
