Executive Assistant to the CEO
Location: Central London β 5 days per week, office-based
Salary: Up to Β£55,000 + discretionary bonus
Type: Full-time, permanent
Reports to: Chief Executive Officer
About the Business:
We are partnering with a fast-growing, entrepreneurial business group operating across hospitality, food & beverage, real estate, technology and investment.
The group is building the infrastructure and technology that enables ambitious hospitality businesses to launch, scale and operate more effectively, while continuing to expand across multiple businesses, projects and investment activities.
Led by a highly entrepreneurial CEO, this is a fast-paced environment where decisions are made quickly, priorities evolve and there is significant ambition for continued growth.
As the group continues to scale, we are looking for an exceptional Executive Assistant to the CEO to become a genuine right hand to the Founder and play a critical role in maximising their effectiveness.
The Role:
The CEO operates across multiple businesses and live projects simultaneously, travels frequently and moves quickly between commercial negotiations, operational priorities, investments and strategic initiatives.
You will become the person who ensures everything around the CEO operates effectively β keeping the diary watertight, travel seamless, projects moving and the wider team accountable to deadlines.
This requires someone who can anticipate rather than react, operate with complete discretion and remain calm and effective when priorities change at short notice.
You will have significant exposure to the inner workings of a growing business group, working closely with the CEO and senior leadership across commercial decisions, operations, projects and external relationships.
Key Responsibilities:
Diary & Time Management
- Take complete ownership of the CEO's calendar across multiple businesses and projects.
- Ruthlessly protect the CEO's time and ensure it is allocated to the highest-priority activities.
- Manage a constantly evolving schedule, proactively resolving conflicts and rescheduling at pace.
- Prepare the CEO thoroughly for meetings, including agendas, briefing notes, attendee information and supporting documentation.
- Run a structured daily and weekly forward-look process so the CEO is always prepared for upcoming priorities, meetings and commitments.
Meeting Coordination & Accountability
- Coordinate meetings across the senior leadership team and with external stakeholders.
- Manage scheduling, logistics, materials and follow-up for key meetings.
- Capture actions and decisions, circulate them quickly and ensure owners follow through.
- Track deadlines, commitments and outstanding actions across multiple projects.
- Confidently hold senior team members accountable on the CEO's behalf.
- Ensure important actions never fall between the cracks.
Travel & Executive Support
- Take ownership of complex UK and international travel arrangements.
- Manage itineraries, accommodation, transport and changes, often at short notice.
- Anticipate potential issues and resolve them before they impact the CEO's schedule.
- Remain responsive when the CEO is travelling internationally or when important deals and projects are live.
Project & Business Support
- Support the CEO across multiple business projects and strategic initiatives.
- Prepare, format and proofread presentations, documents and correspondence to a consistently high standard.
- Manage and triage inbound communications, including emails and messages.
- Draft responses where appropriate and ensure urgent or commercially important matters are prioritised.
- Liaise confidently with senior external stakeholders including investors, advisers, lawyers, banks and business partners.
- Take ownership of ad hoc projects and independently solve problems as they arise.
Required Experience:
We are looking for an experienced Executive Assistant who has operated successfully within a fast-paced, demanding and entrepreneurial environment.
You will ideally have:
- 5+ years' experience supporting a CEO, Founder or C-suite executive.
- Experience working within a high-growth, entrepreneurial or multi-entity business.
- Proven experience supporting an executive who travels extensively, including managing complex international travel and frequently changing schedules.
- Experience supporting a leader operating across multiple businesses, projects or competing priorities simultaneously.
- A track record of coordinating senior teams, managing deadlines and confidently chasing actions through to completion.
- Experience handling confidential commercial, financial and personal information.
- Strong experience working with senior external stakeholders.
Skills & Attributes
You will be:
- Exceptionally organised β able to bring structure to a complex and constantly evolving environment.
- Highly proactive β anticipating requirements and solving problems before they reach the CEO.
- Confident and direct β comfortable pushing back, chasing senior stakeholders and representing the CEO professionally.
- An excellent communicator β with strong written English and exceptional attention to detail.
- Tech-fluent β comfortable with Google Workspace and/or Microsoft Office, calendar and travel platforms, CRM systems and project-management tools.
- High energy and resilient β genuinely motivated by an ambitious, demanding and fast-moving working environment.
The Non-Negotiables
- Based in London and able to work 5 days per week from the office.
- Flexibility to be responsive outside standard working hours when the CEO is travelling or important projects and deals are live.
- Full right to work in the UK.
