  • Description

You will be responsible for administering the college's student admission and enrolment processes for prospective and progressing students.

You will provide comprehensive support as a member of the Student Administration team, acting as the critical link between the prospective students and other college departments.

You will own the learner journey from application to enrolment, ensuring compliance with college policy and data accuracy for funding and compliance.

A key focus of the Student Administration team is ensuring the student is enrolled on the right course, whilst providing best practice customer service to enhance the student experience.

To be successful you will have excellent administrative and communication skills, be IT literate and highly efficient and organised.

You will have excellent attention to detail and quality will be embedded in all work you do.

Key Responsibilities

  • To screen applications from prospective students, creating and updating records whilst ensuring compliance with college policy and procedure.
  • To support the College Enquiry team and provide information to both new and progressing students about study programmes across the full range of courses on offer at the college.
  • To act as a critical link between internal and external parties, working closely with Admissions Co-ordinators and curriculum colleagues to provide support and information to applicants and other interested parties.
  • To efficiently and effectively administer the admissions process.

This includes processing applications, offering alternative courses when appropriate and making referrals to other college departments when necessary.

This will also involve arranging interviews when appropriate, reviewing pre-enrolment information, sending offers and co ordinating enrolment related administration.

  • To maintain excellent student records both electronically and paper based, ensuring information is accurate and up to date.

This will involve processing change requests in electronic systems.

  • To work closely with the college's marketing team to support student recruitment activities such as open events and to help promote these to applicants and other interested parties.
  • To develop an excellent knowledge of the college curriculum plan and course offerings.
  • To enrol students using student record systems to data input, maintaining data accuracy whilst demonstrating compliance with funding regulations.
  • To develop and maintain excellent knowledge of funding regulations in order to provide accurate advice and fee assessments to students.
  • To provide support for data validation for ILR and audit purposes.
  • Process enquiries from students for access to information, reference requests and general updates relating to student records.
  • To consistently demonstrate excellent communication skills and a customer focused approach, with the highest level of customer service.
  • Provide administrative support to the wider team and college as appropriate and required.
  • To participate in professional development, training and appraisal processes.
  • Generic Duties
  • To contribute fully to the mission and values statement of the College Group ensuring its effective implementation in all aspects of College life.
  • To take proactive responsibility for Health & Safety to ensure that a safe working environment and safe working practices are maintained at all times.
  • To comply with the General Data Protection Regulations (GDPR).
  • To support cross college activities as required, such as organising events or assisting with enrolment.
  • To understand roles and responsibilities around safeguarding all learners and contribute to maintaining a safe learning environment.

Skills, Knowledge and Expertise Essential Criteria

  • Experience of working in an administrative or customer support function.
  • Excellent IT skills and ability to learn and adapt quickly to new technologies.
  • High level of interpersonal skills with proven relevant experience of building strong working relationships (internally and externally)
  • Excellent customer service with experience of working with customer diversity.
  • Excellent communication and organisational skills.
  • Ability to be resilient and flexible; able to respond quickly to changing priorities and manage own workload to meet deadlines without compromising on quality
  • Experience of working with data and able to show a good understanding of GDPR.
  • Ability to use own initiative and self motivated.
  • Understanding of the ILR and funding rules for further education.
  • Experience of assessing student information and of providing high quality student services.
  • Awareness of procedures relating to keeping children safe in schools; safeguarding; confidentiality; data protection and equality, diversity and inclusivity within an educational environment.

Desirable Criteria

  • Experience of using education software packages.
  • Fluent speaking in any of the mentioned languages: Arabic, Chinese, Farsi, Kurdish Sorani, Tigrinya, Spanish, French or Portuguese
