Fixed Term 18 monthsThe Business Administrator Apprentice role is essential in ensuring the smooth operation of the Apprenticeship Department, specifically focusing on the new apprentices standards. This position provides comprehensive administrative support, contributing to the efficient management of apprenticeship programmes and enhancing the overall experience for apprentices and staff.

Key Responsibilities

  • Provide day-to-day administrative assistance to the Apprenticeship Programme Managers and team.
  • Assist with duties including smart assessor caseload allocations, updating of student records, change of employers and Digital Apprenticeship Service employer support
  • Handle correspondence, emails, and phone calls professionally and promptly.
  • Organise and maintain electronic and paper-based filing systems.
  • Prepare and distribute documents, reports, and meeting minutes.
  • Assist in the enrolment process for new apprentices, ensuring all documentation is complete and accurate.
  • Maintain up-to-date records of apprentices’ progress and performance.
  • Coordinate with employers, training providers, and apprentices to schedule meetings, reviews, and assessments.
  • Support the delivery and tracking of the new apprenticeship standards.
  • Input and manage data in the college’s management information system (MIS).
  • Generate regular and ad-hoc reports on apprenticeship progress and outcomes.
  • Ensure data accuracy and compliance with relevant data protection regulations.
  • Act as a point of contact for apprentices, employers, and staff, providing information and resolving queries.
  • Facilitate effective communication between all stakeholders involved in the apprenticeship programmes.
  • Support marketing and promotional activities for the apprenticeship programmes.
  • Assist in organising events such as apprenticeship fairs and induction days.
  • Coordinate logistics, including venue booking, catering, and materials preparation.

Skills, Knowledge and Expertise

Essential criteria

  • Minimum GCSEs in English and Maths (or equivalent).
  • Excellent organisational and time-management skills.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • Attention to detail and high level of accuracy.

Desirable experience:

  • Proven experience in an administrative role, preferably within an educational or training environment.
