We are looking for a new Medical Secretary to support our existing friendly, hardworking secretarial team. This role is to start as soon as reasonably possible. There is 1 vacancy for 14 hours per week across 2 days: Tuesday and Friday.

The Chislehurst Partnership is a friendly, high-achieving suburban partnership in the London Borough of Bromley with a countryside feel. Currently operating from two sites (The Chislehurst Medical Practice & The Woodlands Practice), there are 9 partners, with 7 salaried doctors and a full complement of nurses including ANP and HCA. The successful candidate will be expected to work across the two sites.

Main duties of the job:

  • Deliver an efficient, caring and respectful service to our patients.
  • Provide a friendly and helpful primary care service on behalf of the practice.
  • Support the practice by adapting to changing work practices and being flexible to cover sickness and holidays.
  • Maintain attention to detail as accuracy is a key requirement of the role.
  • Exhibit excellent communication skills, both verbal and written.

About us:

The Chislehurst Partnership is passionate about providing a friendly, supportive and caring medical service to our population. We have a patient list size of circa 25,000 and are a well-organised, progressive, forward-thinking Partnership. We are part of the Mottingham, Downham & Chislehurst (MDC) Primary Care Network and share across our practices a wide range of additional roles including Clinical pharmacists, Physicians associates, Social Prescribers, Mental Health Practitioners and Paramedic.

Job responsibilities:

  • Provide an efficient service for GPs, practice managers and other health professionals as required, including patient referrals via e-Referral system and email.
  • Monitor hospital referral letters via the e-Referral system and update GPs when required, advising of any rejections or queries.
  • Send 2WW (Two Week Wait) referrals by the appropriate system and ensure the referral is recorded appropriately.
  • Check that 2WW referrals have been attended and report any DNAs to the referring GP.
  • Deal with hospital enquiries.
  • Establish and maintain filing and administrative systems for easy access to information.
  • Receive incoming and initiate outgoing telephone calls to facilitate timely communications, taking messages and dealing with appropriate queries.
  • Retrieve medical records and assist with the completion of medical/insurance records subject access requests and medical forms.
  • Invoice and record payments for insurance/solicitor requests.
  • Provide holiday/sickness cover for colleagues as agreed.
  • Any other duties reasonable to your position.
