Main duties of the job

The role has overall responsibility for business development, finance, human resources, IT systems, premises, and patient services. The post holder will take a proactive, strategic approach to practice development, ensuring compliance with NHS contractual obligations, CQC requirements, and relevant legislation, while identifying opportunities for service growth and income generation.

The Practice Manager will stay informed of NHS developments and ensure that changes in guidance, policy or legislation are effectively implemented and communicated across the practice.

We are a small,friendly NHS GP practice in Chelsea with an innovative, enthusiasticand proactive GP team. We are seeking a motivated and experienced PracticeManager to lead, coordinate and support the practice team, workingcollaboratively with our GPs to ensure the smooth running, continueddevelopment and high standards of care across the practice.

Job responsibilities

Key Responsibilities

Strategic Management & Planning

Contribute to the strategic direction and long-termdevelopment of the practice

Monitor performance against KPIs, CQRS targets andcontractual requirements

Lead change management and service developmentinitiatives

Prepare and maintain governance documentation (CQC,information governance, clinical governance)

Develop business cases and bids for new servicesand funding

Oversee all aspects of practice finances, includingbudgeting, forecasting and cash flow

Maximise income from NHS and non-NHS sources

Monitor expenditure and report variances withcorrective actions

Liaise with accountants and submit year-endaccounts promptly

Ensure robust systems for invoicing, cash handlingand financial controls

Human Resources

Lead recruitment, retention, induction and ongoingstaff development

Maintain HR policies, employment contracts and jobdescriptions

Ensure compliance with employment legislation andprofessional registration requirements

Manage staffing levels, skill mix, performanceissues, grievances and disputes

Provide leadership, mentoring and support toadministrative and reception teams

Information & Communication Technology

Oversee practice IT systems, hardware and software(including SystmOne)

Ensure data security, system maintenance andappropriate procurement

Maintain an up-to-date understanding of medical andclinical software

Ensure the premises are safe, secure, clean andwell maintained

Manage maintenance, calibration and servicing ofequipment

Ensure appropriate insurance cover is in place

Oversee fire safety, alarm and telephone systems

Ensure patient services meet NHS contractual andregulatory standards

Oversee appointment systems, capacity planning andaccess to services

Manage patient registration, list size and boundarycompliance

Maintain effective complaints management procedures

Liaise with the Patient Participation Group

Ensure patient information materials and thepractice website are kept up to date

Governance, Compliance & Quality

Ensure compliance with CQC, Health & Safety,Infection Control and GDPR

Maintain business continuity planning and riskmanagement processes

Disseminate safety and prescribing alerts

Represent the practice at relevant meetings

Professional Conduct

Maintain strict confidentiality at all times

Promote equality, diversity and inclusion

Engage in ongoing professional development andannual appraisal

Person Specification

Experience

  • Proven experience in a management or senior administrative role
  • Experience of managing staff, including recruitment, performance management and staff development
  • Experience of financial management, budgeting and monitoring expenditure
  • Experience of working with policies, procedures and regulatory requirements
  • Experience of working independently, prioritising workload and meeting deadlines
  • Experience working in an NHS GP practice or primary care setting
  • Experience of CQC compliance, inspections and governance frameworks
  • Experience of managing contracts, service development or income generation
  • Experience of working with clinical systems such as SystmOne
  • Experience of managing premises, health & safety and facilities

Qualifications

  • Evidence of relevant management or leadership training or significant management experience within healthcare or a related setting
  • GCSEs (or equivalent) in English and Maths
  • HR, finance or healthcare management qualification
  • Evidence of continued professional development

Knowledge and skills

  • Strong leadership skills with the ability to motivate, support and coordinate a multidisciplinary team
  • Excellent communication skills, both written and verbal
  • High level of organisational skills and attention to detail
  • Ability to manage change and implement new systems or processes
  • Strong problem-solving and decision-making skills
  • High level of professionalism, integrity and confidentiality
  • Ability to work collaboratively with GP partners and external stakeholders
  • Commitment to high standards of patient care and service delivery
  • Knowledge of NHS primary care contracts, QOF and commissioning arrangements
  • Understanding of HR legislation and employment law
  • Experience of working in a paper-light or digital practice environment
  • Evidence of contributing to service improvement or innovation
