The Chartered Institute of Export & International Trade (CIOE&IT) is the leading UK membership association for those working in exporting and importing. We are seeking a highly skilled Administration Coordinator to manage and deliver the client administration and student support requirements for the business.

The ideal candidate must demonstrate a robust combination of technical, interpersonal and organisational skills, adaptability, attention to detail and the ability to work collaboratively across teams to ensure a high standard of client and student service. This is primarily a remote role that will require occasional visits to our Peterborough and London offices.

JOB BRIEF

The role will be working within the Education department, and you will be responsible for the management of client interactions, data handling, record keeping and process optimisation.

RESPONSIBILITIES:

  • Manage and maintain client records, interactions and communications using CRM and office.
  • Respond promptly to client and student enquiries, providing guidance and support as needed within business service level agreements.
  • Offer pastoral care and direct students to appropriate support.
  • Streamline and optimise administrative processes for greater efficiency.
  • Ensure strict compliance with relevant regulations and uphold confidentiality at all times.
  • Generate invoices and chase outstanding payments.
  • Ensure that all Chartered Institute policies and procedures are adhered to, reviewed and amended as appropriate, internally within the CIOE&IT and externally with clients.
  • Provide clients and students with support through their journey from enquiry to completion.
  • Utilise digital platforms for effective client and student engagement.
  • Collaborate with colleagues and departments to deliver a cohesive support experience.
  • Collaborate with all departments to ensure that the business maximises opportunities across the full range of its products and services.
  • Process certificates and badges upon completion of education.
  • Provide excellent customer service in line with CIOE&IT’s values.
  • Perform other job-related duties as assigned within the scope of your role.

DESIRED SKILLS SET AND EXPERIENCE:

  • Preference will be given to candidates who can demonstrate specific experience in similar roles within an Education setting.
  • Demonstrable experience with Student Record Systems (SRS) is highly desirable.
  • Strong organisational abilities – managing multiple priorities, scheduling tasks and meeting deadlines.
  • Proficiency in CRM systems and office software – experience with databases, spreadsheets and document management.
  • Excellent written and verbal communication – capable of communicating clearly with clients, colleagues and students.
  • Experience in student or client support roles – prior exposure to handling enquiries, offering advice and providing guidance.
  • Knowledge of data protection and compliance – familiarity with regulatory standards such as GDPR and best practices in confidentiality.
  • Technological aptitude – comfortable using digital communication platforms, visual learning environments and video conferencing tools.
  • Teamwork and collaboration – demonstrated ability to work effectively with others across various teams.
  • Empathy and customer-focused mindset – patient, approachable and attentive to the diverse needs of clients and students.
  • Adaptability and problem-solving – flexible in approach and resourceful in resolving challenges or unexpected situations.

NICE TO HAVE BUT NOT ESSENTIAL:

  • Experience in advanced data analysis or reporting.
  • Familiarity with academic policy development or quality assurance.
  • Experience working with international clients or students in a multicultural environment.
  • Knowledge of accessibility standards and inclusive practices in education or administration.
