Reporting to the Purchasing Manager, the incumbent in this position is responsible for procuring quality food, beverages, materials, equipment, supplies, and services for the hotel while minimising cost.
Overall Objectives:
- To ensure the lowest cost consistent with required quality standards on a timely basis by procuring foods, beverages, materials, services, equipment, and supplies.
- To initiate purchase requisitions as required.
- To identify local vendors and negotiate rates.
- To maintain working relationships with local vendors.
- To assure timely deliveries at the lowest cost by handling and processing orders.
- To assure requisitions are properly approved.
- To maintain follow-up systems on all purchases.
- To verify prices on corporate contract items.
- To follow corporate guidelines on purchasing from corporate suppliers.
- To ensure that purchased items adhere to corporate standards and if not, to take corrective action as required.
- To maintain the competitive status and profitability of the purchasing operation by monitoring industry trends and recommending appropriate action to be taken.
- To provide assistance in the calculation of cost of food and other goods and services based on purchase price.
- To secure competitive bids as required and requested.
- To bring needs for repair or maintenance to the attention of the Controller.
- To perform all duties and responsibilities in a timely and efficient manner in accordance with established company policies and procedures to achieve overall objectives of this position.
- Other ad-hoc duties as assigned.
Requirements:
- Proven experience as a Purchasing Executive, Purchasing Officer, or similar role preferably in the hotel industry.
- Strong negotiation skills with the ability to build and maintain successful vendor relationships.
- Excellent analytical and problem-solving abilities to identify cost-saving opportunities and resolve purchasing-related issues.
- Experience with hotel software (FutureLog, Infrasys, Sun system) is an advantage.
- Strong computer skills, including Microsoft Office (Excel/Word).
- Exceptional communication and interpersonal skills to collaborate effectively with internal stakeholders and external suppliers.
- Ability to work independently with minimal supervision while also contributing to a team environment.
- Detail-oriented with a focus on accuracy and precision in all aspects of purchasing activities.
- Familiarity with relevant laws, regulations, and compliance standards governing procurement practices.
