The Forum School and Residential Home is a 52-week residential specialist school providing quality therapeutic care and education for young people with Autism, severe learning difficulties, challenging behaviour and complex needs. The children and young people that attend the school range between the ages of 7 and 19 years and enjoy a school calendar closely linked to Local Authority term dates.
Brief description of the job
We are seeking to appoint an Education Administrator to join our team. The position is a vital role, you will work closely with our Head of Education and her department to ensure the smooth running of the administration relating to student annual reviews, learning plans along with other routine correspondence. The role is fast paced and varied, tasks are often time sensitive so you will need to be able to juggle an evolving workload, prioritise tasks and have the ability to work both within a team and independently. We are seeking someone with previous administration/office experience with a keen eye for detail, along with excellent communication and ICT skills.
Key Responsibilities
- To contribute to making the admin team effective. This involves supporting other members of the team and helping to build positive relationships. You must be willing to give and receive constructive feedback aimed at developing the quality of relationships and team performance.
- To prepare a range of documents. This involves creating documents, producing and distributing mail-merge documents, using corporate formats as required. This also includes photocopying and presenting complex material and dealing with correspondence. It is likely to include, amongst others, documents related to such matters as budgets, student case reviews and staff recruitment and selection.
- To enter, find, update and store information in paper-based files so that they are always complete and information can always be easily and quickly found.
- To enter, store and find information on computer-based applications, using a recognisable filing structure, and to produce reports from databases. This will involve maintaining up to date staff and student databases.
- To make and receive phone calls, send and receive faxes and e-mail using the required protocols.
- To maintain stock levels and issue stock on request using the required procedure.
- To deal with mail as per the procedure set out for the establishment, maintaining the appropriate levels of confidentiality. This includes receiving, sorting and distributing incoming mail promptly and, preparing and dispatching mail at the appropriate time at the end of each day.
Person Specification
- Experience of working as an effective team member in an office environment.
- Experience of dealing with information in a variety of formats (written, verbal, electronic, charts, graphs, accounts etc.)
- Ability to use current versions of Microsoft Office applications competently (Word, Excel, Outlook)
- Recognised typing/word processing qualification.
- Minimum of GCSE English and Maths (or ability to prove competence at equivalent level)
- NVQ Level 2 in Administration (or previous relevant experience)
The post is for a total of 40 hours per week, 8.00-4.30 Monday to Fridays which includes a 30-minute unpaid daily break. Hours can be discussed and agreed during the interview process as there is some flexibility. You will receive your salary in 12 equal payments. The post is for 38 working weeks per year (term time only), but you will be paid for 44.6 weeks of the year to include holiday pay.
