Role Overview: We are seeking an enthusiastic and passionate Sales Executive on a permanent basis to support Potting Shed Events in the planning, coordination, and execution of the sales strategy. This role involves work that can fluctuate between urgent and non-urgent tasks, providing a mix of structured and flexible responsibilities. The successful candidate will have some experience in sales and/or account management and is now eager to take on more responsibility. They will also have excellent organisational skills, an eye for detail, and the ability to build long-lasting authentic relationships with clients and suppliers.

Key Responsibilities:

  • Venue sourcing based on clients’ briefs, urgently providing impactful venue solutions for any event within budget and on brief.
  • Attend supplier meetings, site visits where possible and FAM trips in the UK and abroad to effectively manage our supplier relationships (most travel abroad is optional).
  • Respond quickly and efficiently to incoming enquiries, always upholding our high-quality standards.
  • Create, manage and support all aspects of client events, ensuring their success by overseeing guest lists, creating invitations, preparing the venue, and coordinating with suppliers and attendees.
  • Attend on-site and act as joint host where required.
  • Communicate with clients to understand their challenges and provide useful and impactful event solutions.
  • Lead the use of the current CRM system, keeping the database clean by updating information regularly, ensuring every client is in the system.
  • Deliver the marketing function laid out by the Sales Director, scheduling posts on LinkedIn, updating brochures.
  • Attend site visits with clients, ensuring that the brief is met by the venue and a beneficial site visit is provided.
  • Administer contracts and invoicing, send contracts to clients, arrange contracts with suppliers, send and follow up commission invoices with venues/suppliers.

Ad Hoc Tasks:

  • Support the senior team with a variety of event-related tasks as needed, including event research, administration, and procurement.
  • Help manage admin tasks, responding to additional emails in absence of the Sales Director, ensuring we are up to date with industry changes (e.g. new hotels), research of unique event concepts.
  • Occasionally support the operations team on-site, acting as crew to gain insight into operational challenges.

Additional Responsibilities:

  • Attend industry trade shows, local networking and association events making new connections within the industry.
  • Own and manage the supplier database, ensuring they are quickly accessible, efficient and up to date.
  • Track conversion statistics, including industry types and time frame running reports to compare year on year.

Key Skills and Experience:

  • Proven experience in event management, with a minimum of 1-2 years in a similar role.
  • Strong time management skills with the ability to juggle urgent to non-urgent tasks.
  • Excellent written and verbal communication skills, with a high level of professionalism in client interactions.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Exceptional attention to detail and a strong sense of responsibility for event success.
  • Proficiency in Google products and Microsoft Office.
  • Some knowledge of account management, sales and negotiation.
  • A flexible, “can-do” attitude with the ability to handle changing priorities and ad hoc tasks.
  • A passion for events and delivering outstanding experiences.
  • Experience preferred (but not essential) in both corporate or private event planning.
