We are a licensed wedding venue hosting civil ceremonies and partnerships for up to 150 guests and for meetings and events we can host from 10 – 150 delegates in one of our events suites. We are seeking a Weddings and Events Coordinator to be responsible for the administration, sales and follow-up on enquiries and reservations for all weddings, as well as other events within the hotel.

The Meeting and Events team is key to our business as they are often the first point of contact many of our guests have with the Hotel. As a Wedding & Events Coordinator you will provide our guests with a personal service for all types of Wedding and events, large and small. As part of the team you will work both re-actively and proactively to sell the hotel and its facilities to potential guests.

What will I be doing as Weddings and Events Coordinator?

  • Dealing with and processing all enquiries for any Wedding to be held within the Food & Beverage outlets, ensuring that clients needs are fully understood and met, whilst revenue & profits maximised, as well as dealing with and processing enquiries for some conferences and Functions held at the Hotel.
  • Recording and processing all bookings, cancellations and amendments promptly in the M & E computer system (Events 500) ensuring the highest quality and standards are maintained in all of the information and printed material issued.
  • Communicating all clients’ needs through the publishing of weekly function sheets and amendments as appropriate providing consistent and effective communications with the hotels operational teams on a daily basis as well as during the weekly operations meeting.
  • Filling in business gaps when the Food and Beverage Outlets have not been booked.
  • Taking bookings for accommodation and facilitating a smooth booking process in order to meet all clients needs.
  • Attending daily/weekly business meetings to co-ordinate the smooth operation of all departments.
  • Conducting show-rounds to all potential clients and facilitate the co-ordination of booking of the Food and Beverage outlets as well as the Rooms.
  • To maintain client database and build relationships with existing meetings and events clients and successfully develop new clients.

As a Wedding and Events Coordinator you will have:

  • At least one years experience in meeting & events co-ordination in a quality hotel or event company with multiple meeting rooms.
  • Telesales experience with both re-active and pro-active sales skills.
  • Computer skills with experience of Event Management Diary and Opera.
  • Previous room reservations experience.
  • Knowledge of London’s Meetings and Events environment/industry.
  • The ability to be self motivated with a passion for sales & achieving targets.
  • To be a real people person and a good team player.
  • Excellent attention to details and good administration skills.
  • Excellent presentation, communication and interpersonal skills with a professional manner.
  • Flexibility as working pattern will be 5 days per week (normally Monday to Friday during office hours, however, occasional evening and Saturday shifts will be required).
