British American Tobacco UK has an exciting opportunity for a Sales Executive Assistant in Chiswick, London

What are the key objectives and expectations from this role?

  • Provide seamless administrative and operational support to the sales leadership and field teams.
  • Enable efficient execution of trade activities, ensuring high standards in planning, coordination, and delivery.
  • Improve team productivity by ensuring structured scheduling, clear communication, and accurate data management.
  • Support commercial performance by ensuring timely coordination of meetings, reviews, and reporting.
  • Ensure all administrative processes (expenses, forms, receipting) are compliant, accurate, and audit-ready.
  • Deliver high-quality execution of trade events, training sessions, and stakeholder engagements.
  • Maintain strong internal coordination and external professionalism when engaging customers and stakeholders.
  • Act as a central coordination point for sales operations, ensuring alignment across teams and activities.

What is the direct impact of this role on the team or organisation?

Acts as a critical enabler of sales effectiveness by ensuring seamless coordination of administrative, operational, and field activities, allowing the sales team to focus on delivering commercial results

Your key responsibilities will include

  • Process and review expense claims, ensuring accuracy, compliance, and timely submission in line with company policies.
  • Maintain and update New Line Forms, ensuring all product, pricing, and customer data is accurate and current.
  • Plan and coordinate sales schedules, trade visits, and field activity calendars to optimize team efficiency.

As well as organize and coordinate internal and external meetings, including scheduling, logistics, agenda setting, and follow-ups.

  • Conduct desktop research to identify new business opportunities, potential customers, and emerging trade trends.
  • Take clear and structured meeting minutes, capturing key decisions, action owners, and deadlines.
  • Coordinate and support trade events, sales conferences, training sessions, and regional roadshows.
  • Comply and implement activities in accordance with the rules of laws and regulations relating to environmental protection, safety at work and fire protection, and internal EHS or Sustainability standards and procedures.

What are we looking for?

  • Bachelor’s degree in Business Administration, Sales, Marketing, or a related field (preferred).
  • Relevant administrative or project coordination certification (desirable but not essential) and proficiency in business systems and reporting tools (training can be provided).
  • Proven experience in sales support, administration, or coordination within a commercial/field-sales environment, including stakeholder management and cross-functional collaboration.
  • Strong background in event coordination, logistics planning, reporting and documentation management; (experience in FMCG, retail, or trade-facing environments is an advantage).
  • Proficiency in Microsoft Office (Excel, Power Point, Outlook) and administrative systems.
