The Senior Resource Manager is responsible for leading EMEA & Americas production resource planning, allocation, and optimisation. This role ensures the efficient use of internal and external production talent to meet creative and commercial goals, balancing capacity with project demand across all studios and disciplines.
Summary of key responsibilities
- Leads EMEA and Americas resource management - managing production resource planning, allocation, and optimisation across all studios.
- Drives capacity visibility - ensures real-time tracking of artist availability, skill sets, and utilisation to support efficient project delivery.
- Oversees workforce planning - balances internal and freelance resources, maintaining strong partnerships and aligning hiring with demand.
- Champions process and systems excellence - standardises scheduling practices, improves tools, and promotes data-driven decision-making.
- Delivers strategic insight - provides forecasting, analytics, and performance reporting to guide leadership on capacity and operational priorities.
EMEA and Americas Resource Scheduling & Capacity Planning
- Oversee the accurate allocation of internal and freelance resources across global production teams.
- Build real-time visibility into artist availability, skill sets, and project assignments.
- Own and manage the global scheduling platform and resourcing tools to support efficient production operations.
- Work closely with department heads to ensure resource utilisation aligns with project and business priorities.
- Coordinate with Studio Leads and Project Managers to ensure balanced workloads and smooth handovers.
- Lead weekly resource planning meetings in partnership with key stakeholders to forecast and address potential bottlenecks.
- In consultation with Heads of Production, optimise resource deployment to meet evolving project demands and maximise efficiency.
Utilisation & Forecasting Management
- Partner with Finance and Business Planning to deliver accurate utilisation forecasts and staffing models.
- Identify shortfalls, surplus capacity, and opportunities to rebalance resources across teams and projects.
- Track utilisation trends to improve forecasting accuracy and enable proactive decision-making.
- Provide visibility into utilisation data for senior leadership, highlighting risks and opportunities.
Workforce Planning & Freelance Resourcing
- Manage end-to-end studio capacity planning, including short-term and long-term workforce strategies.
- Lead the integration of resourcing tools with studio systems to streamline data flow and reduce duplication.
- Maintain relationships with key freelance providers and external talent networks.
- Drive freelance resourcing strategy in conjunction with Production and HR leadership.
- Oversee allocation of talent across concurrent projects to optimise delivery and maintain creative quality.
- Provide input into recruitment planning and hiring strategy to support evolving business needs.
Scheduling Systems & Process Excellence
- Implement clear and consistent scheduling processes and standards across all departments.
- Lead continuous improvement of scheduling methodologies to enhance transparency and efficiency.
- Champion the adoption and optimisation of scheduling systems and tools, ensuring best-in-class utilisation.
Cross-Functional & Commercial Alignment
- Integrate sales forecasting and project backlog data into capacity and scheduling plans.
- Partner with Business Planning to model the impact of pipeline fluctuations on resource demand.
- Collaborate with Project Management, Studio Leadership, and Operations to align scheduling decisions with strategic goals.
Reporting, Analytics & Insight
- Provide weekly and monthly scheduling reports to leadership, offering visibility into capacity, utilisation, and performance.
- Deliver scenario-based analytics to support decision-making on staffing, hiring, and project planning.
- Build and maintain strong relationships with department heads, ensuring data-driven insights inform strategic resource decisions.
Qualifications
- Proven large-scale project delivery and management experience.
- 5+ years in resource management, workforce planning, or production operations within a global studio - preferably within Tech, Real Estate, Architecture or Digital Advertising sectors.
- Strong organisational skills with the ability to manage competing priorities across multiple concurrent projects.
- Proficient across Google Suite, Scheduling tools and Project Management systems.
- Previous experience with Kantata is desirable but not required if you have substantial knowledge of other project management tools.
- Proven track record leading resourcing across the Americas or similarly complex global regions is preferred.
- Comfortable working with Finance and Business Planning teams on staffing models and capacity forecasts.
- Experience leading weekly or recurring planning meetings and driving alignment across teams.
