An exciting opportunity has arisen for an Assistant Membership Manager to join the Membership Team for The Birley Clubs based in Mayfair, London.
The Birley Clubs operate some of the world’s most iconic private members’ clubs; Annabel’s, Mark’s Club, George, Harry’s Bar and Bath & Racquets Club.
The Assistant Membership Manager plays a key role in overseeing the daily operations of the Membership Secretary at George Club, ensuring seamless communication with both members and the Club Operations Team. A primary focus of this role is to enhance member retention by managing the end-to-end renewal process and fostering strong relationships with new and existing members.
Regular engagement with members at club events is essential, serving as a key point of contact to gather insights and feedback. This feedback will then be effectively communicated to relevant departments, including Events, Club Operations, and Membership.
Key Responsibilities:
Member Communication & Engagement
- Serve as the first point of contact for Club Operations staff regarding membership queries, including member status and Salesforce profile updates.
- Handle member concerns, complaints, and feedback diplomatically, escalating issues to the Senior Membership Manager or Membership Director as needed.
- Ensure members are fully aware of Club rules, reinforcing the importance of compliance while maintaining a professional and balanced approach.
Member Retention & Relationship Management
- Cultivate positive relationships between members and the Membership Team.
- Meet with members to receive feedback, ensuring appropriate follow-up with relevant Club or Head Office departments.
- Provide timely responses to member inquiries and concerns.
- Establish a personalized connection between members and the Membership Team, ensuring members feel valued and engaged.
- Personally welcome new members and follow up after new member events to establish a point of contact within the Membership Team.
Membership Renewals & Processes
- Oversee and manage the membership renewal process, ensuring timely communication and efficient processing of membership fees.
- Develop and implement structured processes for renewals, elections, and other membership-related tasks.
Operational Collaboration & Communication
- Work closely with Club operations teams to ensure they understand the membership base, member expectations, and appropriate conduct.
- Standardize and approve all written communications from the Membership Department to members.
- Categorize membership applications for review in preparation for weekly meetings with the Senior Membership Manager and Membership Director.
Events & Representation
- Attend Club events to engage with members and support business needs.
- Attendance at the Clubs for member events and business needs
- Deliver adhoc tasks as requested by the Membership Director
We are ideally looking for candidates who have:
- Experience working with a CRM database such as Salesforce
- Experience in membership management, luxury hospitality, or high-end lifestyle brands.
- Excellent numeracy skills with good analytical skills
- Extensive experience of working with customers / clients / members directly with account / booking queries at a senior level.
- Excellent communication skills both verbal, written and on the telephone
- Be highly professional, articulate and well presented
- Excellent attention to detail and the ability to prioritise tasks and meet deadlines
- Be highly motivated, with the ability to work within a small, process driven team
- Excellent computer skills across Microsoft Office – Word, Excel, Outlook and databases.
