Main duties and responsibilities
- To effectively manage the Events & Groups Sales & Planning team, with the assistance of the Deputy Head of Events & Groups and to effectively manage the Events Operations team, with the assistance of the Events Operations Manager
- To maintain corporate standard operating procedures, quality of service and procedures in running the Events & Groups team in both sales, planning and operations across both The Berkeley & The Emory.
- To manage and supervise that all Events & Groups employees adhere to Maybourne policies and procedures, ensuring service standards are at the pioneering level of our industry.
- To oversee the execution of all Events & Groups across the hotel operation to ensure a successful delivery resulting in positive post-event feedback and driving a high repeat business percentage and attracting new key accounts.
- To actively ensure that financial targets are followed, reported upon and aspired to achieve at all opportunities including revenue generation, cost controlling and expenses management.
- Weekly and monthly forecasts and mid-month P&L is submitted on time and with accuracy
- Regular follow ups on snagging lists and projects to ensure that the maintenance of all events rooms and equipment is kept at the highest possible standards with the support of the Events Operations Manager.
- To attend all hotel meetings where communication of Events and Groups is required. Daily Meetings, Operations Meetings, Monthly/Quarterly Departmental/Division Meetings, Monthly Revenue Meetings.
- To develop and maintain strong relationships with other HOD’s and our Global teams at Corporate Office.
- To be responsible for the development, recruitment and appraisal process of all Events & Groups team members with the support of Events Operations Manager & Deputy Head of Events & Groups. To be able to identify any required improvement areas of performance and to implement development/performance plans as needed.
- To be responsible for the Health, Safety and security welfare of all persons and areas of the Events & Groups department with the support of the departmental Health & Safety Representatives.
- To ensure sufficient training coordination is carried out in connection to staff needs and requirements and that training records are maintained.
- To be responsible for the effective management of all staff administration areas including lieu day accrual, holiday allocation, sickness absence, etc.
- To manage the pro-active and reactive sales efforts of the Events & Groups sales team in conjunction with Maybourne Global Sales & F&B teams.
- To develop a close working relationship with designated account(s). This must involve all areas of the company to include events, groups and all personnel within these areas who have a potential to book the properties.
- To efficiently and professionally manage all incoming enquiries ensuring effective distribution amongst the team.
- To ensure the team is handling these enquiries in a friendly, professional and pro-active manner and that information is sent efficiently and to a high standard.
- To ensure all enquiries and leads are entered into the Delphi/Salesforce System and all Maybourne system usage standards are followed without exception to maintain a clean database and enable effective digital intercompany communication.
- To successfully identify key need periods for Events & Groups and implement strategic action plans to drive business development.
- To adhere to Maybourne billing procedures ensuring deposits and final payments of invoices are prompt. To follow up with the team to ensure the weekly outstanding balance report is maintained efficiently and with minimal balances due.
- To host and partake in pro-active FAM trips for key accounts alongside Global Sales and Corporate Director of Event Sales to help maximise visibility and presence in the industry amongst clients and suppliers.
- Ensuring close relationships are maintained with Maybourne counterparts to enable a seamless collaboration and to maintain consistency across the group.
- To be fully conversant with Maybourne systems and follow Hotels Standard of work in terms of duties.
