The Resort Experience Team - as part of the commercial team won the Hotel team of the year, a testament to their excellent customer relationships and results-driven work ethics. Our Resort Experience office is a fast-paced, supportive environment, with people who are passionate about delivering great service and achieving their potential acting as first point of contact for our guests, providing prompt and personalised assistance with room bookings, rate inquiries, and special requests, ensuring a smooth reservation process, accurate information, and excellent service that sets the tone for a memorable stay.

As an Entertainment Sport Executive you will be responsible for managing all music-related enquiries, entertainment requests and sports accommodation requests for the hotel. This role supports the sales pipeline by converting enquiries into confirmed business, negotiating contracts, coordinating with internal departments and ensuring every booking is delivered to a high standard. The ideal candidate is commercially minded, organised, and confident in liaising with clients, suppliers, performers, sports partners, and the internal operations team, ensuring The Belfry standards are maintained.

You will also be responsible for:

  • Managing all incoming enquiries related to music bookings and Sports Teams
  • Qualifying leads, preparing proposals, converting enquiries into confirmed sales
  • Being the point of contact with the customer for all pre-planning details
  • Creating event function sheets to ensure clients' requirements are accurately documented and distributed to the wider resort
  • Booking and attending pre-arrival calls with clients to discuss arrangements
  • Leading meet and greet on the day of arrival, handing over to the operational team and wider resort
  • Maintaining strong relationships with clients, agents, organisers
  • Delivering exceptional service throughout the sales journey to maximise client satisfaction and repeat business

Alongside being the main point of contact for Entertainment and Sport, this role will also support our Group Room Reservations team, managing all group reservations, ensuring accurate rooming lists, booking of allocations, seamless communication with internal departments, and exceptional service delivery for groups staying at the hotel.

You will also be responsible for:

  • Processing, updating, and maintaining all group rooming lists with high accuracy and within agreed timelines.
  • Ensuring all group blocks are correctly set up in the PMS, including room types, rates, billing instructions, and special requests.
  • Monitoring pick-up against contracted allocations and communicating any adjustments to the sales and revenue teams.
  • Tracking cut-off dates and coordinating with the sales team to release or extend group blocks as needed.
  • Coordinating closely with Front Office, Housekeeping, Sales, Revenue, and Events teams to ensure all group needs are clearly communicated and executed smoothly.

The ideal candidate will have a minimum of 1 year's experience in a mid to large hotel sales team, and previous experience in looking after Entertainment and Sport clients and possess excellent verbal and written communication skills. In addition, you will be:

  • Methodical - accurate ability to work on own initiative, with outstanding attention to detail
  • Computer literate, with experience of hotel PMS (i.e. Delphi Daylight / Opera)
  • Previous experience in hotel reservations, front office, or group services
  • Sales focused and enthusiastic, with excellent customer service skills
  • Flexible and capable of working well within a team
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
