An exciting vacancy has arisen for a Dispensary Manager at The Beeches Medical Practice, working from our branch surgery based in Dorrington. Although the work will be undertaken from the Dorrington surgery, there will be opportunities to travel to the Bayston Hill practice to attend meetings, training etc.We have a practice population of just over 7,200 patients. Our team strive to provide a friendly, efficient and welcoming environment with patient-centred care at the heart of what we do.

Main duties of the job

To be responsible for the safe,accurate and efficient dispensing of medication to our patientpopulation, providing advice and support for both patients and colleagues. Inaddition, the post holder will be required to manage the dispensary staff andsupport the multi-disciplinary team in line with the strategic objectives ofthe practice.

The Dispensary Manager will be an integral part of thegeneral practice team.

The post-holder will aim to maximise income and minimise loss from the Dispensary, working closely with the wider Management Team and GP Partners to ensure the relevant financial controls and processes are in place, as well as reviewing these processes on a regular basis.

The post-holder should be able to support the dispensary team to ensure maximum efficiency, alongside fostering a positive coaching environment that encourages staff to take control over their personal and professional development. The post-holder will ultimately be responsible for ensuring that all work is completed in a timely fashion and raising any issues with relevant staff and/or the wider team.

About us

The Beeches Medical Practice is a friendly 4 Partner Practice. We are situated on the south side of Shrewsbury providing medical care for approximately 7,200 people. The practice covers a wide area from Bayston Hill to Leebotwood in the north – south direction and Acton Burnell to Pulverbatch in the east – west direction.

We have two surgeries, Bayston Hill and Dorrington. Dorrington being our dispensing surgery.

We are an efficient and friendly team that consists of 4 GP Partners, an ANP, 3 Practice Nurses, a HCA, a Phlebotomist, a Practice Manager, Operations Manager, Data Quality and Compliance Manager, 2 Team Leaders, Care Coordinator, and a team of 11 Medical Administrators, Dispensers and Receptionists.

We are a training practice, and clinicians and staff are very involved in ensuring the trainees gain full experience of all aspects of life in general practice. We look after Medical Students from Keele University and GP Registrars for various timescales.

We use EMIS Web as our clinical system along with Docman and GP Teamnet.

Job responsibilities

Thefollowing are the core responsibilities of the Dispensary Manager. There maybe, on occasion, a requirement to carry out other tasks; this will be dependentupon factors such as workload and staffing levels:

A. To be responsible for planning andallocating work for all dispensary staff

B. To oversee all dispensing matters withinthe practice, checking colleagues dispensing as required

C. To dispense prescriptions for patients

D. To collect prescription charges frompatients, cash up and balance monies received

E. To cross reference number and value ofprescription charges against statements, ensuring accuracy

F. To effectively coordinate the requestsfor repeat prescriptions

G. To ensure requests for repeatprescriptions are processed within a timely manner

H. To manage the return of medicines frompatients

I. To deal with uncollected medication inaccordance with current policy

J. To effectively manage stock levelswithin the dispensary, ensuring adequate levels are held, minimising wastageand expenditure

K. To promote a safe and effective workingenvironment, conforming to legislation, ensuring drugs are storedappropriately, within temperature parameters and securely

L. To effectively manage the cold chainprocess, ensuring all staff are aware of the requirement to accurately recordtemperatures and store items appropriately

M. To conduct stock-takes in accordancewith guidance

N. To process invoices for payment,liaising with management as required

O. To assist with QOF targets

P. To be responsible for the effective linemanagement, appraisal and development of dispensary staff

Q. To work with the Practice Manager/GP Partnersto take responsibility for developingtheir own clinical competence, leadership and reflective practice skills withinthe workplace

Inaddition to the primary responsibilities, the Dispensary Manager may berequested to:

A. Partake in audits as directed by the Management Team/GP Partners

B. Provide mentorship and guidance fortrainee dispensary staff and students

C. Review the latest guidance, ensuring thedispensary conforms to NICE, CQC, etc. guidance

D. Line manage the dispensary staff inaccordance with current practice policy

Qualifications

  • A. Registered with GPhC as a Pharmacy Technician
  • B. BTEC in Pharmaceutical Science or equivalent
  • C. NVQ Level 3 in Pharmacy Services or equivalent
  • D. Nationally recognised Accredited Checking Pharmacy Technician qualification (ACPT)
  • A. Knowledge of pharmacy service procedures including GDP, enhanced services, falsified medicines directive, etc
  • B. Managerial qualification to diploma level, or equivalent experience
  • C. Member of the Association of Pharmacy Technicians (APTUK)
  • D. NVQ Level 4 in Management or equivalent, or equivalent experience in pharmacy management role

Experience

  • A. Experience of working in a dispensary
  • B. Good clinical system IT knowledge (EMIS etc)
  • A. Experience in managing dispensary services in primary care
  • B. Broad knowledge of general practice
