BBI exists to help our customers create advances that improve health and save lives. We are seeking a Senior Customer Supply Specialist to join our team. This is a permanent, full-time position based at our site in Crumlin.
The role of the Senior Customer Supply Specialist is to perform activities within the company’s supply and demand value stream and to enable the business to realise its commitments to our end customers. It involves reviewing, processing and the administration of customer sales orders, allocation of stock and setting of anticipated shipping dates of orders based on stock availability and/or product lead times and shipment capacity, providing support in relation to PO queries both externally and internally.
In addition to these core activities, the Senior Customer Supply Specialist acts as the primary operational point of contact for the Customer Supply team, supporting the effective coordination of day-to-day activities and ensuring consistent communication across stakeholders. The role provides key operational support to the Customer Supply Manager, helping to manage priorities, resolve complex supply issues, and ensure the team delivers against service level commitments. The Senior Customer Supply Specialist also supports team development, continuous improvement initiatives and cross-functional collaboration across the supply chain.
A key function of this role will be ensuring KPI’s (Key Performance Indicators) are met to ensure customer satisfaction. In this role your responsibilities will include:
- Act as the primary operational point of contact for the Customer Supply team, supporting the coordination of daily activities and ensuring alignment across team members.
- Provide key operational support to the Customer Supply Manager, assisting with workload prioritisation, issue resolution and escalation management.
- Support the Customer Supply Manager in monitoring team performance, workload distribution and service level adherence.
- Assist in driving operational consistency across the team, ensuring processes and best practices are followed.
- Represent the Customer Supply team in cross-functional discussions when required, ensuring supply chain considerations are communicated effectively.
- Support the Customer Supply Manager in implementing operational improvements and process changes within the team.
- Use the ERP data to provide available stock balances and approximate lead times to Sales account managers and customers if requested.
- Utilise ERP and CRM systems to identify and accurately process, amend and schedule customer POs in accordance with the procedure.
- Utilise business required sources of data to accurately and correctly verify and process pricing on customer POs that are accordingly reflected in the ERP system’s Sales Order.
- Utilise the required dashboard within the ERP system to perform daily tasks like shipment scheduling, stock allocation, PO/SO status, vet cert applications, etc.
- Utilise ERP systems to allocate available stock or provide an anticipated dispatch date (as required) in line with product lead time (if stock not available).
- Scheduling shipments of orders via ERP system in line with customer requirements, product availability, product lead times and despatch capacity.
- Ensure all relevant additional logistic related charges are added to new sales orders in line with the provided matrix to ensure we charge our customers appropriately and fairly.
- Send out new sales order acknowledgements to customers via ERP System, whenever a ship date is changed from the original promise date and assign a relevant OTIF failure code and description.
- Consider OTIF impact and therefore a customer impact of every action; be an ambassador for this mindset internally.
- Manage potential risk to Sales Orders via ERP system in line with information provided by relevant stakeholders both internal and external.
- Create and maintain Customer Shipping Specification information (DRL’s) in Sage X3 and update when required so data is accurate for shipping.
- Create Purchase Request for new orders of required resale products as required.
- Ensure your new orders are processed and acknowledged to BBI’s end customers within the given SLA’s.
- Be the first point of contact for all PO related queries both internally and externally.
- Provide all Customers with “World Class Service”; always true, correct and accurate information within company set KPIs.
- Ensure that every potential complaint from a customer is escalated correctly to the Complaints Team in accordance with local procedures.
- To proactively support cross-training within the team across the different specialist functions within your department.
- To implement Lean Six Sigma methodologies into day-to-day tasks.
- Provide cover and support for other team members as and when required such as annual leave and planned training.
- To demonstrate excellent customer care skills and “Customer First” attitude.
- Actively implement improvements to current practices within your own area of expertise and suggest improvement ideas for other areas & proactively progress changes to fruition.
- Follow Lean Six Sigma methodology and mindset in all your daily tasks and procedures and aim to add value with every action.
- Maintain procedures within your area of expertise to ensure they always reflect current practice and update EQMS SOP’s when required if changes occur.
- Raise and progress non-conformances, CAPAs and change controls to target due dates and liaise with Quality to extend dates and complete actions as and when required.
- Any other ad hoc tasks assigned by the Customer Supply Manager.
You should apply if:
- A good general standard level of education.
- GCSE exam passes in English & Maths.
- Experience with Excel and other Microsoft Office productivity tools.
- Lean Six Sigma Yellow Belt desirable.
- Experience of a Supply Chain Role.
- Experience of utilising an ERP System, ideally Sage 200/X3.
- Experience of working in a KPI results environment.
- Experience within the Pharma Industry desirable.
- Experience acting as a key point of contact or coordinating operational activities within a team environment.
