We are looking for an organised and proactive Personal Assistant looking to work within a financial services business that has a brilliant reputation in the market as well as in reviews from their own staff. The Associates Global is seeking an experienced Personal Assistant to support our CEO where you will be a part of a friendly, collaborative team with a low staff turnover and a culture that values openness and teamwork. This is a role where the team work together to deliver and although you will report to C-Level exec (who is energetic and dynamic) you will work with the other PA’s to ensure the business is looked after. The role is based near Liverpool Street and requires 3 days a week in the office. This is a 12 month fixed term contract.

About the Role

As a Personal Assistant, you will provide essential secretarial and administrative support to the executive team. The role requires a strong work ethic, excellent organisational skills, and the ability to manage multiple tasks efficiently. You’ll play a key part in ensuring the smooth running of diaries, meetings, and general office administration, while also supporting team events and contributing to our positive workplace culture.

What You’ll Do

  • Diary Management: Oversee and coordinate busy diaries using Microsoft Outlook, arrange meetings and resources, and ensure timely preparation for all appointments and trips.
  • Meeting Support: Set up meetings, arrange IT and equipment, prepare and distribute documentation, and assist with minute-taking.
  • Administrative Assistance: Manage correspondence (emails, letters, memos), compile and bind marketing materials, support Town Hall meetings, and provide administrative help to the CEO’s direct reports.
  • Office Administration: Maintain filing systems, coordinate with Group colleagues, assist with internal events, and manage signature collation and regulatory report submissions. Support governance processes, including document approvals and execution (e.g. deal documentation and signatures).
  • Travel Coordination: Arrange UK and international travel, handling all aspects of booking and logistics. Lead end-to-end delivery of internal and client events, including town halls, off-sites, conferences and Senior stakeholder engagements. Manage logistics, suppliers, client gifting and budgets, ensuring cost control and high-quality execution. Oversee on-the-day delivery, issue resolution and post-event follow-up to ensure continuous improvement.

  • 2-3 years’ experience in a similar PA role, ideally within a professional services or financial environment.
  • Strong written and verbal communication skills, with a methodical, detail-oriented approach and a flexible attitude.
  • Excellent skills in Outlook, Word, and intermediate competency in Excel and PowerPoint.
  • Proactive, organised, and able to handle multiple priorities to deadline.
  • Commitment to the highest standards of integrity, compliance, and customer outcomes.
