ROLE PURPOSE

The Administrator will play a vital role within our Operations department, supporting Safety, Health, Environmental, and Quality (SHEQ) initiatives across the organisation. This position requires a confident individual with administrative experience, as well as experience real estate and/or safety-related activities. Reporting to the Head of Safety (SHEQ), the Administrator will be responsible for record keeping, managing safety systems, collating performance data, and facilitating staff onboarding. Based in central London, this role will collaborate with colleagues across all areas of the business to ensure compliance and promote a culture of safety and quality.

KEY ACCOUNTABILITIES

  • Oversee the routing of safety advice requests from all areas of the business, ensuring timely and effective responses.
  • Collect and analyse incident and accident data, conduct straightforward investigations, and prepare RIDDOR reports as needed.
  • Analyse safety compliance data to identify trends, collaborating with the Head of Safety to enhance overall performance.
  • Maintain a comprehensive Safety Training Matrix for all roles, defining content in line with role-specific risk assessments and coordinating training delivery.
  • Manage office safety initiatives, including fire marshalling and first aid training, to ensure a safe working environment.
  • Attend and document meetings for the Safety Sponsor Group, Safety Consultation Group, and Joint Network Rail, ensuring key points are captured and communicated.
  • Administer the safety induction process for new starters, ensuring they are equipped with essential safety knowledge.
  • Ensure the timely distribution of Personal Protective Equipment (PPE) to all staff who require it.
  • Assist in maintaining the legal register on the Barbour platform, ensuring compliance with relevant regulations.
  • Manage the lone working platform, Peoplesafe, addressing any arising actions promptly.
  • Administer the DSE platform, SHINE, and ensure all organisational actions are completed effectively.
  • Support the development of our safety governance framework by preparing and managing policies, processes, and guidance documents.
  • Manage data collation, document production, system administration, and purchase order (PO) raising.

KNOWLEDGE, SKILLS AND EXPERIENCE

  • Exceptional Communicator: Strong written and document preparation skills that facilitate clear and effective communication.
  • Numerate and Analytical : Proficient in using and administering finance and management systems, with a keen eye for detail.
  • Detail-Oriented : Committed to delivering accurate output, ensuring high standards in all tasks.
  • Time Management : Skilled in prioritising and managing a diverse workload in a fast-paced environment.
  • Industry Experience : Background in real estate and/or safety-related roles, bringing valuable insights to the team.
  • Adaptable in Dynamic Settings : Proven ability to thrive in fast-paced environments with high volumes of work.
  • Relevant Qualifications : NEBOSH General Certificate, NCRQ Certificate, or similar qualifications are highly desirable.
