Admin Assistant – Part Time Supporting the Global Marketing Team Location: Richmond Salary: Competitive with Package. The Advocate Group are partnered with a leading drinks business known for their strong presence and bold marketing! We are supporting this client on a hire for a Admin Assistant to support the Marketing Leadership team and grow within a great business! Key Responsibilities: Provide administrative support to the Marketing Leadership Team. Maintain and manage Marketing VP diaries, arranging meetings, booking meeting rooms/software links. Coordinate Marketing VP meetings and conferences, including venue/hotel booking, travel, and catering. Attend meetings, take minutes, track and maintain action items to closure. Create PowerPoint presentations, Word documents, and Excel spreadsheets. Prepare and submit multi-currency expense reports. Create and manage purchase orders, ensuring payment of invoices with the EMEA finance team. Conduct specific projects and research on behalf of the Marketing Team, managing information flow accurately and timely. Maintain office systems, data management, and electronic filing as needed. Efficiently administer Marketing legal contracts and other documentation. Implement new processes and procedures to streamline work. Perform other ad hoc duties as required by the Marketing Team, adapting to the evolving needs of the business. Skills & Experience: Team player with the ability to build and maintain strong working relationships with internal and external stakeholders. Flexible, \’can-do\’ attitude with high attention to detail. Passionate, intelligent, resilient, and highly motivated. Proven experience providing high-level administrative support. Intermediate to advanced proficiency in MS Office 365 (PowerPoint, Excel, Word). Demonstrated ability to manage and own projects. Highly organized and efficient with outstanding time management skills and the ability to prioritize effectively. Ability to work well under pressure and meet strict deadlines while remaining calm and professional. Maintain confidentiality of company and employee information at all times. Comfortable working alongside and communicating with decision-makers at all levels. Self-motivated and able to work independently in a dynamic, fast-paced environment.
