General Duties/Key Responsibilities:
- Fleet Operations & Availability
- Manage the day‑to‑day operation of the company fleet, ensuring vehicle availability aligns with operational demand.
- Coordinate vehicle allocation, returns, replacements, and changes.
- Act as the first point of contact for drivers regarding vehicle issues, defects, breakdowns, accidents, and queries.
- Support operational teams to minimise downtime and disruption.
- Maintenance, Inspections & Servicing
- Schedule and manage servicing, repairs, MOTs, inspections, and maintenance.
- Raise jobs with garages, suppliers, and leasing providers via phone, email, and internal systems.
- Ensure pre‑use checks and vehicle inspections are completed and recorded.
- Arrange vehicle collection and delivery when required.
- Compliance & Safety
- Ensure compliance with all relevant legislation and company policies.
- Maintain accurate fleet records including inspections, MOTs, servicing, insurance, penalties, and accident records.
- Support external audits and inspections.
- Ensure Vehicle Driver Handbook and Safe Systems of Work are implemented consistently.
- Driver Management & Inductions
- Conduct fleet inductions for new starters.
- Carry out driving licence checks, eyesight checks, fitness & health checks.
- Log and manage driver infractions, PCNs, and penalties.
- Identify driver training needs and coordinate training where required.
- Liaise with HR on conduct, disciplinary, or policy‑related matters.
- Accidents, Insurance & Risk
- Manage vehicle accidents and incidents from reporting through to resolution.
- Liaise with insurers, repairers, and internal stakeholders.
- Monitor claims, costs, and trends to reduce risk and expenditure.
- Cost Control & Administration
- Manage fleet administration including paperwork, scanning, and system updates.
- Monitor costs relating to repairs, fuel, tyres, leasing, private mileage, fines, and insurance.
- Support value‑for‑money decisions and continuous cost improvement.
- Manage fuel cards, tyre providers, telematics (e.g. Lightfoot), and related suppliers.
- Health & Safety Support
- Maintain registers for fleet‑related safety equipment (e.g. ladders, first aid kits, fire extinguishers).
- Support toolbox talks and SHEQ communications when required.
- Continuous Improvement
- Identify and suggest improvements to fleet systems, processes, and ways of working.
- Support the development of safer, more efficient fleet operations.
- Represent the business professionally with suppliers, auditors, and partners.
Qualifications and Skills:
- Experience in a hands‑on fleet, transport, or operational coordination role.
- Strong administrative background with operational exposure.
- Strong knowledge of vehicle compliance, maintenance, and fleet operations.
- Confident using IT systems including Excel, Word, Outlook, and internal fleet systems.
- Good literacy and numeracy skills; able to manage data, reports, and cost tracking.
- Ability to prioritise workload in a busy, fast‑moving operational environment.
- Professional and confident communicator, able to deal with drivers, managers, and external suppliers.
- Experience in a service, construction, engineering, or contractor‑based environment (Desirable).
