The focus of this role is to provide a complete reception and telephone triage service to our patients while maintaining patient confidentiality and promoting the professional image of Abbey House Medical Practice. You will also provide administrative support for all aspects of general medical business, including scanning, prescription processing, filing medical records and patient registrations.

Key Responsibilities

  • Opening premises and restoring telephone and computerised appointment systems; switching over telephone systems at the end of surgery and recording new messages (dependent on shift).
  • Receiving and routing patients on arrival in an efficient and courteous manner.
  • Making new and follow‑up appointments, both face‑to‑face and via telephone.
  • Handling general enquiries and promoting the services offered by the surgery.
  • Informing patients of cancelled appointments.
  • Receiving payments from patients and providing receipts when required.
  • Completing T/R forms together with computer entries.
  • Using the computer as required.
  • Leaving the reception area or call centre tidy and ready for incoming colleagues, with information regarding unresolved or urgent matters.
  • Making tea or coffee for visitors and doctors as necessary.
  • Tidying waiting areas when necessary.
  • Dealing with all incoming and outgoing post.
  • Ensuring sufficient stationery supplies are available in reception and call centre.
  • Providing a collection point for prescriptions, sick notes, etc.
  • Testing fire alarms on a regular basis.
  • Inputting change‑of‑address forms onto the computer.
  • Making up antenatal packs as required.
  • Photocopying and shredding documents as necessary.
  • Issuing self‑certification forms for patients to complete.
  • Registering all new patients, preparing their files and inputting information onto the computer regarding immunisations, cytology results and rubella status for new female patients.
  • Scanning correspondence, forwarding it via e‑mail and placing it in patients' electronic records.
  • Managing repeat prescriptions and associated administration.
  • Updating patients' notes and adding read codes as directed by doctors.
  • Ensuring summaries are added accurately to patients' notes.
  • Keeping accurate appointment statistics.
  • Providing clinical administration support.
  • Carrying out any other duties agreed by doctors and the practice manager.

Job Details

This is a permanent part‑time position – 25 hours per week, Monday to Friday, with a 5‑hour shift to be worked per day between 13:00 and 20:00. We are a large practice based over two sites in the small market town of Daventry, Northamptonshire with an outstanding CQC rating. Despite our large size, we pride ourselves in our team spirit and look forward to welcoming a new Patient Support Advisor to the surgery!
