The Membership & Training Executive supports the Association’s membership operations, workforce development initiatives, and administration of Career Conversion Programmes (CCP) for the advertising and marketing industry. The role works closely with Workforce Singapore (WSG), member companies, Institutes of Higher Learning (IHLs), training partners, and programme participants to ensure effective programme execution and compliance with funding and governance requirements.
This role plays an important part in supporting industry capability building, talent development, and member engagement, serving the needs of a diverse community of advertising, marketing, and communications professionals in Singapore.
Key Responsibilities- Membership Operations & Member Support
- Support membership recruitment, renewals, and retention initiatives in line with the Association’s objectives.
- Assist with member onboarding processes and coordination of renewal and invoicing-related matters.
- Maintain accurate and up-to-date membership records in CRM systems and databases.
- Prepare membership summaries, reports, and administrative updates for internal use.
- Support member engagement activities, including industry events, briefings, and communications.
- Handle member enquiries and coordinate responses with relevant internal stakeholders.
- Career Conversion Programme (CCP) Administration (WSG-related)
- Support the administration of Career Conversion Programmes (CCP) in accordance with Workforce Singapore (WSG) policies, funding guidelines, and governance requirements.
- Assist with applicant eligibility screening, documentation verification, and programme application tracking.
- Conduct structured interviews with applicants as part of the CCP assessment process to assess eligibility, suitability, and alignment with programme objectives.
- Maintain complete, accurate, and audit-ready records in line with programme and funding requirements.
- Track participant progress, placement outcomes, and key programme milestones.
- Liaise with member companies, applicants, and internal teams on CCP requirements, assessment outcomes, and programme timelines.
- Support data collation and periodic reporting required by WSG and Association management.
- Training & Industry Programme Coordination
- Support the planning, coordination, and delivery of industry training programmes and workshops (physical, hybrid, and online).
- Coordinate with training providers, facilitators, and IHL partners on programme schedules and delivery arrangements.
- Assist with participant registration, attendance tracking, and feedback collection.
- Support post-programme evaluation, reporting, and continuous improvement activities.
- Maintain training calendars, programme materials, and participant records.
- Stakeholder Engagement & Industry Support
- Support coordination and communications with member organisations, training partners, and external stakeholders.
- Assist in organising industry meetings, briefings, workshops, and engagement sessions.
- Prepare meeting materials, presentations, and minutes where required.
- General Administration & Team Support
- Provide administrative and operational support to the Membership & Training team.
- Assist with preparation of reports, dashboards, and briefing materials.
- Support documentation of SOPs, workflows, and process improvements.
- Perform other duties as required to support the Association’s membership and workforce development objectives.
- Bachelor’s degree or Diploma in Business, Marketing, or a related field.
- Strong project management skills with the ability to multitask and meet deadlines.
- Excellent communication, interpersonal, and networking skills.
- Proficiency in Microsoft Office Suite and CRM/database management.
- Experience working with the Career Conversion Program is a plus.
- Ability to work both independently and collaboratively in a team-oriented environment.
- Highly organised and detail-oriented, with a strong sense of accountability.
- Comfortable working within structured funding, compliance, and governance frameworks.
- Confident engaging industry members, applicants, and external partners.
