The HRSS Coordinator delivers a high-quality and consistent HR service to employees and managers. This includes timely and efficient HR, recruitment, and employee lifecycle administration support to HR colleagues, line managers, employees, and external candidates. The role ensures HR support is delivered within agreed parameters, enabling managers and employees to work effectively. Responsibilities are carried out in line with procedures, standards, and HRSS Service Level Agreements (SLAs).
Responsibilities
- Administer onboarding activities including drafting and sending letters and contracts, ensuring pre-employment checks are completed in line with SLAs and audit requirements.
- Conduct ongoing employment checks as required by the Senior HRSS Coordinator.
- Support payroll administration, including processing starters, leavers, changes, and incremental rises.
- Maintain accurate paper-based and electronic employee records.
- Manage photocopying, letter writing, data inputting, cleansing, archiving, and general HR administration.
- Ensure accurate data entry within the MyHR system.
- Action workflow requests in a timely and consistent manner.
- Monitor compliance with HR policies, standards, and processes, escalating non-compliance as appropriate.
- Deliver a professional and high-quality service to all customers.
- Resolve routine customer queries and complaints where possible, escalating to the HR Shared Services Manager when necessary.
- Escalate HR advisory queries to HR Business Partners and Advisors promptly.
- Build positive rapport with colleagues and customers with clear, appropriate communication.
- Handle all information confidentially and share only with appropriate personnel.
- Comply with organisational policies and procedures while promoting equal opportunities and maintaining a safe and supportive workplace.
The Individual
- Solid HR administration experience, including payroll data collation.
- Strong verbal, written, and numeracy skills.
- Excellent organisational skills with the ability to manage time and prioritise.
- Proficient in Microsoft Word and Excel with HR systems/database experience.
- Able to work independently using initiative within set processes.
- Strong interpersonal skills and ability to work with colleagues at all levels.
- Confident handling confidential and sensitive information.
- Knowledge of HR policies and procedures.
- Effective verbal communication with diverse customer groups.
- Strong written communication for correspondence and reports.
- Able to comply with the Data Protection Act and FCA regulations.
Education and Qualifications
- Good general education with minimum GCSE Grade C (or equivalent) in English and Maths.
- CPP qualification or CIPD membership (or working towards) is highly desirable.
