ROLE DESCRIPTION

The 10,000 Interns Foundation is seeking to appoint an experienced Data Operations Manager looking to develop their skills in IT administration, data analysis, and process optimisation. The Data Operations Manager will play a pivotal role in ensuring that everything runs smoothly from one day to another. They maximise processes and procedures while meeting the Foundation’s internal needs in terms of reporting and cost-effectiveness. Our data operations manager also owns the IT infrastructure that supports our charitable activity, making sure our data and systems output is clean and reporting on this in a clear and timely manner. This role sustains our IT and Data ecosystem and supports the Foundation’s goal.

KEY RESPONSIBILITIES

  • Ensure all operations are carried out efficiently, effectively, and in a cost-conscious manner.
  • Manage and report on data flows across all aspects of the Foundation\’s charitable work.
  • Lead and improve systems, processes, and ways of working to enhance organisational performance.

EXECUTION

  • Administer and maintain existing IT platforms to ensure data security, system efficiency, and user effectiveness.
  • Procure and implement new IT platforms, where necessary, to meet organisational needs.
  • Deliver training to team members to ensure effective and confident use of IT systems and processes.
  • Coordinate IT provisioning, onboarding, and training for new team members, ensuring seamless integration.
  • Oversee IT decommissioning and offboarding for departing team members to maintain system integrity and security.
  • Regularly review data from across business areas to proactively identify and implement operational improvements.

BROADER RESPONSIBILITIES

  • Manage the organisation’s IT asset inventory, ensuring cost efficiency and effective resource allocation.
  • Monitor and maintain compliance with UK GDPR through regular reviews and updates to data protection policies.
  • Serve as the primary point of contact for third-party IT platform vendors, fostering strong stakeholder relationships.
  • Forecast and track key metrics (e.g., programme KPIs) and prepare reports for the Head of Operations and the Senior Leadership Team.
  • Manage CRM (Salesforce) systems, dashboards, data sheets, and all other SaaS applications to ensure streamlined operations.
  • Track and manage IT expenditures within an annual budget, leveraging nonprofit discounts and evaluating existing and proposed IT systems.
  • Prepare and present regular reports on data security, IT expenditure, and other operational topics as required.

REQUIREMENTS & SKILLS

Essential:

  • At least 2-3 years of proven experience in an Operations function or a role with operations duties.
  • Initiative and a willingness to learn new systems and processes.
  • Ability to engage in effective self-directed learning/research to enable the administration of unfamiliar IT platforms.
  • Experience in data handling and forecasting.
  • Outstanding organisational skills and the ability to prioritise work effectively and manage expectations.
  • Proven ability to juggle multiple projects at a time, while maintaining sharp attention to detail.
  • Excellent verbal and written communication skills.

Preferred:

  • Knowledge of, and demonstrable experience in, applying operations improvement methodologies
  • Good understanding of the UK GDPR in a small business context
  • Experience in Google Workspace administration, including familiarity with the Google Admin Console, Google Sheets, Google Docs etc.)
  • Experience in basic Salesforce administration, especially in the context of the NonProfit Success Pack (E.g. field management, use of Dataloader.io, report creation etc.)

ROLE REPORTING

This role reports to the Head of Operations but is responsible for supporting all members of the Senior Leadership Team regarding IT systems administration and data processing. It also collaborates strongly, and cross-functionally across the business to ensure effective ways of working and efficiency. The duties and responsibilities described are not a comprehensive list and additional tasks may be assigned to you from time to time, or the scope of the job may change as necessitated by business demands.

ABOUT US

Our mission is to champion underrepresented talent, at scale. In June 2020, we began this mission with a simple idea to provide 100 paid internships for Black students in the investment management industry. 100 Black Interns (as it was at the time) was designed to help address the chronic underrepresentation of Black talent in investment management roles by creating opportunities for young Black students and graduates to gain meaningful industry insight and experience. To have so few Black professionals in an industry that prides itself on attracting the best talent was unacceptable both from a societal and commercial perspective. Within a year, this initiative successfully placed over 500 interns in 217 firms, with each position ensuring at least the local Living Wage and a six-week tenure.

After the success of the 100 Black Interns initiative, representatives from other sectors began to express an interest in replicating the approach. 10,000 Black Interns garnered endorsements from diverse stakeholders, including 10 leading industry firms, university groups, and political figures across the main parties. By 2022, 700+ firms across 25 sectors committed to providing a minimum of 2,000 internships, and our mission grew with a goal to place 10,000 interns over the next five years.

Evolving further, we broadened our scope to encompass more areas of underrepresentation. In 2022, we introduced the 10,000 Able Interns pilot for disabled students and graduates, successfully placing 25 interns initially, and then over 100 interns across 80 firms in Summer 2023, backed by the Disability Charities Consortium, the UK’s leading disability-related charities. To reflect our broadened scope, we became the 10,000 Interns Foundation, rebranded, and refined our mission. As we enter 2024, our focus is on building out our brand and consolidating our operations to ensure the sustainable success of and effective fundraising for our impactful programmes.

To date, we have placed over 7,000 interns with a further 3,000+ incoming in Summer 2024, and have worked with over 1000 organisations to bring widespread attention to underrepresentation in the early careers space in the UK. Our talent represents the communities we work with, and it is only with the right team, that we can keep driving change.
