The predicted salary is between 40000 - 50000 £ per year.

A key role within our Experiential team taking on responsibility for developing and implementing events, hospitality programmes and brand experiences, away from track, with support from account team members.

Role Overview

Wasserman works with a highly established tech‑based company. The team is established but due to extended project workstreams there is an exciting opportunity to join that team and immediately become an active participant in the team with ample opportunities for travel and activation in different countries across the European and Global footprint.

Client / Account Management

  • Development and management of a trusted and healthy client relationship as day-to-day contact.
  • Effective management of regular project and status meetings with clients (and markets where relevant), including consolidation of notes and actions.
  • Support in the project planning (with senior leads).

Management Responsibilities

  • Liaising with third party contractors, providing a clear idea of what services are required.
  • Work as part of the team on the delivery, build and activation of all associated elements.
  • Designing schedules with contractor movements, crew shift timings and staff movements.
  • Manage technical outlay for the client and work with them to ensure products are delivered to event set ups.
  • Management of venues and associated local contractors.

Financial Responsibilities

  • Day-to-day lead on project budgets, working into the senior team.
  • Day-to-day lead on budget tracking, payment schedules and budget reconciliation across all required projects.
  • Write quote requests and collate comparisons where possible, negotiating with suppliers on quotes if required.
  • Raising POs and allocating where necessary across staffing budgets.
  • Reconciliation of all budgets.
  • Feed into the project lead on overall budget management and updates.

Live Event

  • Overseeing and managing the install of the events.
  • Management of all contractors onsite.
  • Lead on any key briefings which need to occur.
  • Be responsible for maintaining general standard and performance of the workforce.
  • Be point of contact onsite for any client requests and reacting to any needs or challenges which emerge.
  • Reporting any issues or problems to senior lead on site which become apparent whilst on the ground, so support can be given.
  • Support hospitality team in set of events and spaces as required.

Post Event

  • Ensuring the return of team equipment and kit post event to the waterfall warehouse or packing ready for the next leg.
  • The inventorying of stored kit post event.
  • Compiling post event reports with key learnings and performance analysis.

Administration

  • Working closely with Senior Manager, Project Director and Senior Director to learn admin procedures and ways of working and to take responsibility for these within Workday, our Project and Finance management system.
  • Be an active member of the internal team status.
  • Create event briefing documents and training aids for suppliers.

Support

There may be times when your support is required outside of what is mentioned above, alongside your expertise called upon to assist other members of the team.

Other Responsibilities

  • Assist with purchase of any additional kit or equipment needs.
  • Receipt and expense management post event.

The Skills And Experience You Need

  • Be a good communicator and able to instruct confidently and clearly to both clients and team members.
  • Have a positive and friendly disposition.
  • Be attentive and considerate of the onsite team’s welfare.
  • Be responsive and able to think on your feet.
  • Forward thinker to identify any issues.
  • Be calm and collected when faced with high pressured situations.
  • Have solid experience of Experiential build and activation.
  • Ability to think on your feet and take appropriate actions to resolve any unforeseen issues as they arise while keeping professional and poised exterior.
  • Agency experience, preferably Motorsport (F1) experience.
  • Experience working on large global consumer brands is preferred, but not essential.
  • Knowledge of, and passion for, Formula 1 is essential while wider sport, music & entertainment is a bonus.
