Title: Base location: Primary Purpose of the Role: The Belfast Workplace Manager is an integral part of our Workplace Team, operating under the umbrella of Imperva, a Thales Company. Youll help spearhead the delivery of a positive employee workplace experience, creating a culture of excellence and acting as a cultural ambassador for our organization. This highly visible role demands passion, self-motivation, and proactive problem-solving abilities. Were seeking individuals with 3-5 years of experience in workplace management, operations, or corporate facilities, who are ready to take on the challenge of enhancing our workplace environment and driving continuous improvement. Key Responsibilities and Tasks: Site Management: Serve as the primary contact for employees and service vendors regarding facilities issues. Oversee building FM requests and collaborate with property management teams to ensure smooth operations. Continually review and audit service standards and procedures, including health and safety practices, to maintain a high standard of workplace excellence. Responsible for ensuring that the office is safe, comfortable, functional, and compliant with health and safety regulations. Manage the office budget, supplies, equipment, maintenance, security, and vendor relationships. Operational Excellence: Maintain relationships with vendors, ensuring compliance with insurance and contractual requirements. Handle procurement processes in accordance with procurement policy, including purchase orders (POs), vendor setup, contracts and payments. Manage shipping and labelling services, supervising the receipt and delivery of packages in the mailroom. Ensure the maintenance of office and pantry supplies, managing inventory and placing orders as needed. Employee Engagement & Events: Support senior management in organising meetings and events onsite. Support the Site Leader and HR in planning and executing engaging employee events, managing budgets, vendor relationships, and communication strategies. Implement initiatives to promote employee engagement onsite, creating a true community feel. Coordinate employee onboarding and offboarding processes, including desk coordination and ID creation, to ensure a seamless transition for new and departing employees. Foster a culture of excellence by encouraging collaboration among employees and promoting a positive workplace atmosphere. Implement initiatives such as regular team-building events or social activities to foster a sense of belonging and community. Additionally, promote employee wellness and well-being by organising wellness programmes, ergonomic assessments, and mental health resources, with the assistance of HR and/or the Site Lead. Community Engagement: Promote a nurturing sense of community and belonging among employees through the organisation of team-building activities, social events, and volunteer opportunities with the assistance of the Site Leader and HR. Collaborate with local organisations and community partners to support corporate social responsibility initiatives and community outreach programmes, ensuring alignment with Thales CSR guidelines and policies. Skills and Experience Essential Knowledge and experience in the Corporate Real Estate industry. Strong understanding of office management procedures. Proficiency in Google Docs, Sheets, Slides, MS Office Suite. Strong analytical skills and attention to detail. Ability to work independently and as part of a team, taking initiative and demonstrating problem-solving skills. Excellent oral and written communication skills. Service-oriented personality with a proactive and flexible approach. Desirable 3-5 years of professional experience in workplace management, operations, corporate facilities or similar role. Experience in managing and executing employee engagement programmes and community outreach initiatives.
