We are currently looking for a permanent Document Controller for a fit out and refurb client of ours. To manage and implement the day-to-day requirements of a project's document control needs and activities. Below is an overview of the responsibilities this role entails. The extent of these will vary depending on the size and complexity of the project(s) you are assigned to.
- Support the project teams always ensuring that they are up to date with relevant information.
- Ensure site set up checklist is completed with the project team.
- Set up hard copy site records folders for site office.
- Assist in the preparation, collation and issue of project reports and registers.
- Procore is essential.
- Track and chase outstanding RFIs responses.
- Track and chase outstanding Technical Submittals responses.
- Log CVIs / CAIs, EAIs, site instructions received.
- Archive project systems data at project handover.
- Support monthly cross project Document Control health check assessments.
- Snagging - create users on SnagR and demonstrate how to use.
- Liaise with line manager to ensure any issues with the document control system are managed and resolved as quickly as possible.
- Chase outstanding O&M uploads.
- Production of O&M Manuals as directed.
- Work on and maintain Quality management documents, manage information around audits etc.
- Assist with the internal H&S audit process.
- Ensure you support the maintenance of Health and Safety standards on site and that a safe environment is always provided.
- Responsible for project document control standards being maintained across the project, including efficient flow of documentation, handover and close-out related to the project, to ensure consistency.
- Develop and maintain good working relationships with internal customers and other parties in the best interests of the business.
- Ensure all drawings/documentation are correctly identified, distributed, and filed/stored using agreed document control system and based on a project specific distribution matrix.
- Reviewing of all documentation uploaded to the document control system for quality assurance approval or rejection with comments.
- Working with the trade contractors and professional teams to maintain quality assurance.
- Continuously monitor the update and issue of information to ensure the correct information is being utilized for the construction works and other design documents, and to ensure that all parties are issuing documents correctly.
