Provide exceptional customer care and efficient administration services for patients at TFP Fertility Clinic. Act as the central point for patients, staff and visitors, handling enquiries in person, by telephone and email, and supporting patients through the fertility journey.

Key Responsibilities

  • Promptly and professionally manage initial enquiries via telephone/email within 24 hours.
  • Effectively process all GP, consultant and self‑referrals within 3 days.
  • Coordinate with satellite clinics, ensuring high‑standard communication for a seamless patient pathway.
  • Explain processes to new patients and those seeking treatment.
  • Ensure patient records and correspondence are correctly filed.
  • Maintain the patient database, including appointments and invoicing.
  • Document all communication with patients in the database.
  • Confirm payment has been received for appointments that require advance payment and follow up where necessary.
  • Scan, allocate and upload patient notes, invoices and other paperwork into the computer system.

Qualifications and Experience

  • Educated to Higher Level.
  • Experience in an administration role.
  • Experience working with patients/customers face‑to‑face and over the telephone.
  • Relevant administrative skills and competencies.
  • Proficient knowledge of Microsoft Office Packages.
  • Excellent keyboard and IT skills.
  • Excellent oral and written communication skills and manner.
  • Ability to communicate effectively with staff and patients over the telephone and face‑to‑face.
  • Excellent time‑management skills.
  • Commitment to delivering a high‑quality patient experience.
  • Comfortable asking for payments and collecting payments from patients.
  • High level of customer orientation.
  • High level of resilience and empathy.

Location TFP Nurture Fertility – Nottingham, UK.

Salary and Benefits

  • Competitive salary depending on experience.
  • Working Hours: 37.5 hours per week, Monday to Friday.
  • Weekend and evening shifts on a rotational 1:4 basis.
  • Pension: Dual contribution pension scheme.
  • Holiday Entitlement: 27 days + bank holidays pro rata.
