Role overview

The Procurement Co-ordinator will provide hands-on procurement support to the Group Procurement Manager, with a particular focus on contract renewals and supplier management for the Technology and Marketing teams across Tes Global and Tes Institute. The post holder will manage renewals and day-to-day supplier activity autonomously up to an agreed level of spend and risk, escalating or supporting on larger renewals, new supplier engagements and more complex projects where required. Beyond renewal activity, this role will play a significant part in establishing the Group's new procurement structure, controls and governance framework, and will own the Contract Lifecycle Management (CLM) system, ensuring contracts, key dates and supplier data are accurately maintained and accessible across the business. The role will interact regularly with Technology, Marketing, Finance and Executive Level stakeholders, as well as external suppliers, acting as a trusted point of contact for procurement matters within its remit.

Key Responsibilities

  • Manage end-to-end contract renewals with suppliers up to an agreed level of spend and risk, including negotiation, commercial terms and stakeholder sign-off.
  • Operate autonomously within delegated authority on day-to-day renewals and supplier queries, escalating or providing support on larger renewals, new supplier engagements and higher-risk contracts to the Group Procurement Manager.
  • Support the Group Procurement Manager on larger tenders, RFI/RFP processes and new supplier onboarding, including market research, scoring and documentation.
  • Administer the Contract Lifecycle Management (CLM) system, keeping the contract repository, renewal dates, spend data and supplier documentation accurate and up to date.
  • Play a key role in supporting and maintaining the Group's procurement structure, policies, controls and governance framework.
  • Maintain and report on the contract renewal and savings pipeline, providing regular updates to the Group Procurement Manager and wider stakeholders.
  • Build and maintain strong working relationships with stakeholders across Finance, Technology and Marketing, acting as the day-to-day procurement point of contact for those teams.
  • Carry out basic supplier due diligence and risk assessment, flagging any commercial, contractual or supplier risk issues to the Group Procurement Manager.
  • Maintain accurate, audit-ready procurement records and documentation in line with company policy.
  • Identify opportunities for contract consolidation, cost efficiency and improved supplier terms, feeding these into the wider procurement strategy.

What will you need to succeed?

Experience

  • Has 2-3 years experience in a procurement, commercial or contract management function, including owning contract renewals directly with suppliers from initial review through to negotiation and sign-off.
  • Has experience supporting or running tender processes (RFI/RFP), evaluating supplier proposals and producing comparison or scoring documentation.
  • Has worked with, or supported the administration of, a contract management or similar system, keeping records, key dates and documentation up to date and accurate.
  • Comfortable managing multiple live renewals and stakeholder relationships at once, ideally including exposure to software/SaaS or marketing supplier categories.

Knowledge

  • Working knowledge of standard commercial and SaaS contract terms (pricing structures, licence models, auto-renewal and notice periods, service levels).
  • Understanding of basic procurement processes and good practice, including contract lifecycle management, supplier risk assessment and governance/controls frameworks.
  • Confident user of Microsoft Excel and Word for contract tracking, comparison and reporting; experience using a contract lifecycle management (CLM) or similar system is an advantage.
  • Aware of how AI tools can be applied within procurement to drive efficiency, such as contract review, data analysis and process automation.

Skills

  • Strong negotiation and commercial awareness, with the confidence to deal directly with suppliers.
  • Excellent organisation and prioritisation skills, able to manage a high volume of renewals and deadlines simultaneously.
  • Strong attention to detail, particularly when reviewing contract terms and maintaining accurate records.
  • Clear written and verbal communication, able to build credibility with stakeholders across Technology, Marketing and other business teams.
  • Able to work autonomously within agreed limits of authority, while knowing when to elevate.
  • Keen to explore and adopt AI-enabled tools and ways of working to improve procurement efficiency and effectiveness.

Qualifications

  • No specific degree is required; relevant procurement experience is more important than formal qualifications for this role.
  • A procurement qualification (e.g. CIPS Level 3 or 4) is desirable and where if needed we can support further qualifications, but is not essential at this level.
