Role overview
The AI & Innovation function is a newly formed department, being built from the ground up and tasked with driving practical AI adoption across a business serving over 25,000 schools and 13 million educators. The Business Analyst will work across every function in the business, sit inside a live three-month AI pilot from day one, and directly own the adoption-tracking and measurement pillar of the AI Hub's own roadmap, and work with the Department Head to manage the departmental operations across all implementations and projects.
Key Responsibilities
- Own and maintain the Pain Points & Issues Register and the Opportunity Map as living documents, updating them as new discovery and stakeholder conversations happen.
- Convert department pain points into scoped, evidenced opportunities using the department's value and feasibility framework.
- Write PRDs, user stories and acceptance criteria for AI-enabled tools and features.
- Provide analysis support to whichever part of the department needs it most at a given time.
- Oversee the project management environment and dashboards of the department.
- Own the tracking of how far each AI initiative has spread, from individual use through to genuine cross-department adoption.
- Prototype automation frameworks with the engineering team to streamline this work.
- Capture baselines before any AI initiative goes live, and measure impact against those baselines afterwards.
- Support the measurement framework for the current three-month AI pilot.
- Work with the Department Head to manage project & departmental budgets and ensure metrics are live and initiatives remain commercially viable.
- Co-design the ROI and value-measurement framework with Finance and produce regular reporting for senior leadership.
- Support the department's cost, impact and threat risk-tagging discipline on every initiative.
- Support Data Protection Impact Assessments for AI initiatives that process personal or sensitive data.
- Maintain the use-case inventory and risk tiering underpinning the department's governance framework.
- Document AI processes, decisions and outcomes for audit and knowledge-management purposes.
- Act as the analytical bridge between the AI function and the wider business.
- Support the training and enablement programme.
- Support vendor and tool evaluation, including due diligence on cost, capability and data-handling terms.
- Maintain the department's internal knowledge assets.
What will you need to succeed?
Experience
- Has worked as a Business Analyst, Product Analyst or similar in a technology, SaaS or data-driven environment.
- Has written PRDs, user stories and acceptance criteria that engineers have genuinely built from.
- Has worked directly with senior technical staff as a genuine analytical partner.
- Has operated in an environment where the roadmap was still being defined.
Knowledge
- Working knowledge of AI and machine learning concepts.
- Familiarity with data protection principles, including UK GDPR.
- Comfortable working with data from multiple systems.
- Awareness of agile and product ways of working.
Skills
- Strong structured-thinking and synthesis skills.
- Confident, clear written and verbal communication.
- Comfortable with genuine ambiguity in a small, fast-moving team.
- Proficient with data analysis and visualisation tools.

- Degree-level education or equivalent demonstrable experience.
