We are looking for a highly organised and detail-focused Part-Time Business Administrator to support the smooth running of our core business administration, bookkeeping and SAGE-related processes. This role is less focused on sales administration and more centred around accurate business records, bookkeeping support, SAGE data accuracy, reconciliation, order processing support and wider administrative processes that keep the business operating efficiently.

The successful candidate will be confident working with SAGE, numbers, customer and supplier information, and internal systems. They will take ownership of recurring administrative tasks, help maintain accurate financial and operational records, and support the wider team with clean, reliable business data. This would suit someone who is naturally organised, comfortable with bookkeeping and business administration, and takes pride in accurate records, well-managed systems and consistent processes.

Key Responsibilities
  • SAGE Administration & Process Support
    • Create, process and maintain sales orders accurately within SAGE where required.
    • Support SAGE-related processes including customer records, supplier information, pricing, order details, delivery information and general system accuracy.
    • Check SAGE entries before processing to reduce errors and avoid delays.
    • Support the preparation and issuing of customer order acknowledgements where required.
    • Liaise with internal teams to clarify information before records are updated or processed.
    • Maintain a high standard of data integrity across SAGE and connected business systems.
    • Support day-to-day bookkeeping administration, including accurate recording and checking of financial information.
    • Assist with reconciliation activity within SAGE to ensure records remain accurate and up to date.
    • Identify and resolve discrepancies relating to customer records, supplier records, pricing, quantities, invoices, payments or other financial information.
    • Escalate issues where information is incomplete, incorrect or requires further approval.
    • Support the preparation and organisation of information needed for accounts, reporting and internal review.
    • Help maintain clear, accurate and well-organised financial and administrative records.
  • Business Administration
    • Provide general administrative support across the business to help keep internal processes running smoothly.
    • Maintain accurate customer, supplier and internal records across relevant systems.
    • Ensure documentation is filed, updated and easy to locate when needed.
    • Support recurring administrative tasks, reporting, process checks and internal follow-up activity.
    • Proactively identify errors, gaps or inconsistencies across systems and take action to correct them.
    • Help improve administrative processes by keeping information clean, current and reliable.
  • Customer & Internal Communication
    • Contact customers or suppliers where information is missing, unclear or required to complete an administrative process.
    • Provide clear, professional communication when gathering information or confirming details.
    • Support the wider team with accurate information for order acknowledgements, internal updates and customer-facing documentation.
    • Ensure communication is well documented and reflected in the relevant systems.
  • CRM & System Updates
    • Ensure CRM records are kept up to date and aligned with SAGE where required.
    • Maintain accurate contact details, order information, activity notes and supporting records.
    • Support the wider team by ensuring system data is clean, current and reliable.
    • Proactively highlight where systems, records or processes could be improved.
Skills & Experience Required
  • Strong working knowledge of SAGE, ideally including order processing, customer records and reconciliation activity.
  • Experience in bookkeeping, accounts administration, business administration or finance-related administrative support.
  • Confidence working with financial, customer, supplier and operational data.
  • Strong attention to detail and a high level of accuracy.
  • Good understanding of CRM systems and the importance of keeping records up to date.
  • Good working knowledge of Microsoft Office, especially Excel and Outlook.
  • Strong written and verbal communication skills.
  • The ability to work independently and take ownership of recurring administrative tasks.
  • Experience supporting internal processes, data accuracy and general business administration.
