Purpose of the role

The role of the facilities manager is to ensure the buildings, services, and work environment at Terapia and its associated sites are healthy, safe, efficient, and well maintained so that its staff, students, and visitors can operate effectively.

Main Responsibilities and duties

  • Oversee all aspects of fire safety, first aid, and health and safety processes (training provided as required).
  • Keep records of inspections, risk assessments, and compliance checks including fire alarms, PAT Testing, Legionnaire’s checks, Water Temperature Checks.
  • Maintain building security systems and associated equipment.
  • Develop and maintain the site handbooks for all personnel (staff, trainees, visitors etc.)
  • Liaise with contractors and suppliers for maintenance, cleaning, and other facilities-related services and monitor delivery against the agreed contracts.
  • Assist with coordinating office moves, equipment, and supplies as required.
  • Support senior colleagues in managing facilities budgets, invoices, and supplier contracts.
  • Support the development and monitoring of planned maintenance schedules (e. g., servicing of boilers, lifts, alarms, and emergency lighting).
  • Ensure statutory checks (including PAT testing, gas/electrical safety, fire safety systems) are carried out on time and records maintained.
  • Promote energy efficiency and sustainability practices across the building (e. g., recycling, responsible use of utilities).
  • Contribute to business continuity planning/disaster planning including evacuation procedures, incident reporting, and emergency response readiness.
  • Liaise with Health and Safety Executive when required.
  • Keep an up-to-date inventory of key equipment, furniture, and facilities assets.
  • Assist in reviewing suppliers for cost-effectiveness and value for money, sourcing quotes where needed.
  • Conduct regular site checks that might lead to carrying out minor repairs (e. g. lightbulbs, batteries) and suggesting solutions to larger maintenance issues.
  • Ensure circulation and assembly spaces are tidy, safe, and well-maintained in line with health and safety guidelines.
  • Oversee stock levels (stationery, toiletries, refreshments, printer toners) and coordinate deliveries.
  • Ensure accessibility and safety considerations are in place for all staff, trainees, and visitors, including those with additional needs.
  • Contribute facilities-related data for management/Board reports, highlighting risks, issues, and improvements.
  • Act as the responsible adult regarding minor accidents and injuries. Reporting to HSE if required.
  • Carrying out risk assessments and ensuring contractors apply safe working practices.
  • Carry our small gardening activities to the two planting areas and monitor the internal living walls.
  • Assist and support colleagues in carrying out their duties as directed by the CEO.

Person Specification

  • Experience in a facilities management.
  • Good communication and interpersonal skills with a professional.
  • Good understanding of health and safety in the workplace legislation.
  • Good level of DIY skills
  • Strong organisational skills and ability to multitask effectively.
  • Comfortable handling basic manual tasks (e. g. moving boxes, minor repairs).
  • Ability to work independently as well as collaboratively within a team.
  • Commitment to Terapia’ s values, safeguarding, and mission to support children, young people, and families.
  • Experience working in a therapeutic, educational, or healthcare environment.
  • Facilities management qualification or willingness to train.
  • Fire warden and/or First Aid qualification or a willingness to train.
  • UK driving licence.
