Minimum Qualifications:

  • High school diploma or equivalent.
  • Experience in customer service, reception, office administration, or a related field preferred for a minimum of three years.
  • Proficiency in Microsoft Office Suite and standard office equipment with basic knowledge of social media platforms and digital communication tools.
  • Ability to learn institutional software and purchasing systems.
  • Ability to perform multiple administrative tasks while maintaining accuracy.
  • Strong organizational skills with attention to detail.
  • Excellent written and verbal communication skills along with strong organizational and time-management skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Ability to work independently and as part of a team.
  • Ability to adapt to changing priorities in a fast-paced environment.
  • Valid Tennessee Driver’s License.

Preferred Qualifications:

  • Prior secondary or post-secondary experience.
  • Technical Diploma, Associate’s degree, or higher degree from an accredited institution.
  • Experience of Ellucian Banner or other student information systems.

General Duties:

The Campus Support Specialist provides front-line administrative support to students, faculty, staff, and visitors while assisting with a variety of daily campus operations. This position serves as the primary receptionist for the campus and performs clerical, purchasing, communications, and administrative support functions. The Campus Support Specialist contributes to a welcoming campus environment by providing excellent customer service and ensuring routine administrative tasks are completed accurately and efficiently.

Key Responsibilities – Essential Job Functions:

  • Serve as the primary receptionist by greeting students, visitors, and guests in a professional and courteous manner.
  • Answer and direct incoming telephone calls, visitors, and faculty, staff, and students appropriately.
  • Provide information regarding college programs, services, and campus events.
  • Receive and distribute mail, deliveries, and packages.
  • Receive and process student payments, assist with account balance collection, and prepare daily deposits as needed.
  • Maintain current knowledge of all college programming.
  • Sustain the appearance of the administrative office and front reception area.
  • Keep administrative calendar.
  • Secure facility when needed.
  • Maintain and track facility key inventory.
  • Enter contract information into institutional systems and maintain supporting documentation.
  • Prepare routine correspondence, reports, forms, and other office documents.
  • Maintain files and records in accordance with institutional procedures.
  • Assist with registration, orientation, graduation, campus events, and other institutional activities.
  • Prepare purchase requests and place orders for approved supplies, equipment, and materials.
  • Receive shipments and verify items against packing slips and purchase orders.
  • Process receipts for purchased goods and services according to institutional procedures.
  • Maintain purchasing documentation and assist with inventory of office supplies.
  • Publish approved content on the institution's social media platforms.
  • Take photographs of campus events, student activities, and special programs for promotional purposes.
  • Update digital signage throughout the campus with announcements, event information, deadlines, and other approved messages.
  • Assist with maintaining a consistent and professional institutional image across communication platforms.
  • Help prepare meeting materials, event supplies, and informational packets.
  • Coordinates and tracks maintenance service requests.
  • Serves on college committees and activities as needed.
  • Maintain confidentiality of student and institutional records in accordance with FERPA and college policies.
  • Maintains live work requests and student work documentation ensuring the live work policy compliance by staff, faculty, students, and clients.
  • Perform other related duties as assigned.

Background checks will be completed on all new hires. Instructors will be asked to sign a background release authorizing TCAT - McMinnville to complete a background check which will include the following: Sex Offender Registry, County Criminal & Federal Criminal.

Physical Demands and Working Conditions (ADA REQUIREMENTS):

  • Heavy use of a computer.
  • Normal standing, sitting, and walking.
  • Lifting of boxes weighing approximately 40 pounds or less.
  • Operating a motor vehicle to travel within the college service area and in other areas as needed.

Salary: Commensurate with experience, education and training according to Tennessee Colleges of Applied Technology salary guidelines.
