Position Overview

Reporting to the VP - Human Resources, the Human Resource Assistant is responsible for providing support for a number of Human Resource functions, administrative and otherwise. Workflow is determined by priorities in the department and may include working with confidential information, maintaining files, finance and clerical functions, office and data management, document production, documentation, communications, meeting minutes, preparing for and/or attending career fairs and various staff events, fit testing, and other duties as assigned. The incumbent exercises the appropriate level of initiative and independent judgment in determining work priorities, work methods to be employed and action to be taken on unusual matters. The position functions in a manner that is consistent with the mission, vision and values; and the policies of Southern Health-Santé Sud.

Experience

  • Two (2) years’ experience as a receptionist and/or administrative assistant.
  • Knowledge and experience with QHR an asset.

Education (Degree/Diploma/Certificate)

  • Complete high school education Manitoba standards, required.
  • Completion of an Administrative/Office training program preferred.

Certification/Licensure/Registration

  • Requires a valid Class 5 driver’s license, an all-purpose insured vehicle and liability insurance of at least $1,000,000.

Qualifications and Skills

  • Knowledge and proficiency with Microsoft Office Suite applications.
  • Fluency in English is required; French is an asset.
  • General understanding of Human Resource Principles an asset.
  • Demonstrated excellent oral and written communication skills.
  • Demonstrated interpersonal skills, effective interacting with internal and external clients in a mutually respectful and professional manner to establish and maintain positive working relationships.
  • Demonstrated ability to be client focused with a desire to recognize, validate and meet the needs of internal and external clients.
  • Demonstrated ability to work both independently and as part of a team.
  • Demonstrated effective organizational, analytical, and problem-solving skills.
  • Demonstrated ability to engage with integrity and accountability, understanding and adhering to the organization’s norms and standards of ethical behavior.
  • Demonstrated ability to manage a variety of tasks simultaneously.
  • Organizational skills with a strong attention to detail and a critical degree of accuracy regarding data entry.

  • Demonstrated ability to respect confidentiality including paper, electronic formats and other mediums.
  • Good work and attendance record.

Physical Requirements

  • Demonstrated ability to meet the physical and mental demands of the job.
  • No hazardous or significantly unpleasant conditions.
  • May work occasionally evenings and weekends as necessary.
  • Will be required to travel to other regional facilities as the position duties may require.
