Position Summary
The Program Specialist provides comprehensive course support for Phase 1, Year 2 MD courses. This position is responsible for managing courses using the medical school’s Canvas system and other database applications including Examsoft and One45. The role participates in the preparation of the second year Integrated Schedule, prepares and posts course documents, manages room scheduling, regularly disseminates information to students and faculty, prepares exams using the electronic exam management tools, maintains course data and grades in Canvas and Banner, provides course statistics and reports, oversees distribution of course and faculty evaluations, organizes and manages the Phase 1 Elective program in its entirety, works in concert with the Phase 1, Year 1 and Doctoring coordinators to provide support for the Phase 1 Curriculum and leadership, and performs other duties as assigned.
Required Education and Experience
- Bachelor’s Degree and at least 2 years of directly related experience. An equivalent combination of education and experience may be considered.
Essential Duties
- Serves as administrative coordinator for all aspects of second year medical education courses.
- Establishes and organizes each course within Canvas in accordance with protocol, updates information as received and continually ensures accuracy of course information.
- Manages room scheduling per session needs and establishes appropriate Zoom meetings as necessary.
- Manages attendance tracking using Qwickly system for every mandatory in‑person session.
- Communicates regularly with students and faculty regarding lecture and small group schedules, room assignments, handouts and recorded lectures, course competencies and learning objectives, and exams.
- Serves as administrative liaison with faculty and staff at St. Luke’s regional campus.
- Posts exams into electronic exam management system and reserves appropriate test rooms; organizes coverage for exam proctoring with colleagues.
- Tracks data related to second year curriculum, including course failures, remediation, student performance, outcomes and enrollments; follows up with Course Directors for remediation.
- Posts grades to Teams Grade Sheet and submits grades and grade changes in Banner.
- Prepares listing of faculty for teaching evaluation assignments and disseminates course and faculty evaluations in accordance with procedure; tracks evaluation completion rate and communicates to Phase 1 Deans.
- Coordinates, attends and provides administrative support to course focus group meetings.
- Coordinates entire pre‑clerkship elective program, confirming offerings with Phase 1 Deans/faculty, organizing fall and spring catalogs, running elective lottery, making course assignments and communicating those assignments to students and faculty, reserving rooms, obtaining and submitting grades.
- Participates in special projects as assigned.
- Performs other duties as assigned.
This position is assigned a hybrid work arrangement (on‑campus and remote); the duration of this hybrid work arrangement is at the discretion of Temple University and the Department.
