Temple University's College of Education is searching for an Assistant Director of Research Administration.

Salary Grade: T26
Salary Range: $49,250 - $60,000

Summary:

Under the direction of the Assistant Dean of Finance and Administration and in partnership with the Office of the Vice Provost for Research, the Assistant Director will coordinate and monitor pre- and post-award operations related to sponsored research projects or grant funded centers. The incumbent will handle pre-award activities, including acting as the primary liaison to faculty PIs for policies and procedures regarding strategic budget development, grant proposal submissions, sub-award documentation, and obtaining approvals in compliance with federal, state, and other sponsoring agencies and university guidelines and policies. The role also supports post-award administration by maintaining grant databases and providing financial reports and projections, guiding, approving, and operationally supporting compliance with Notice of Award terms for all payment, procurement, and receivable deposit activities. The Assistant Director will complete close-out processes at the end of each project period, ensuring receivables match expenses and supporting audits.

Essential Functions:

Pre-Award:

  • Support faculty and Program Directors with grant proposal submissions in conjunction with university-level research administration offices in budget development, sub-award documentation, administrative portions of proposals, and internal approvals.
  • Develop policies and procedures related to the responsibilities of Principal Investigators during the award, including reporting, budget modifications, No-Cost Extensions (NCE), and other sponsor-specific actions for strategic planning throughout the project lifecycle.
  • Submit applications in the electronic research administration (eRA) system and liaise with the Office of the Vice Provost for Research Administration.

Post-Award:

  • Collaborate with the PI or Program Director and the CEHD Director of Human Resources regarding project staff, ensuring hiring aligns with budget and compliance.
  • Collaborate with the PI or Program Director and the CEHD Director of Human Resources for payroll changes, pre-view of effort reports, buyouts, and summer research salary in accordance with budget and compliance.
  • Assist with identification of staffing and professional development needs for the research center.
  • Oversee Notice of Award requirements, including conflict of interest and re-budgeting.
  • Perform monthly reconciliation and dissemination of budget projection and expense transaction reports in Banner Finance and/or FOAP reports.
  • Work directly with external agencies involved in the projects/grants, including stakeholder educational institutions and other state, local, and national agencies.
  • Maintain files for each portfolio and coordinate collection and compilation of documents for audit.
  • Process necessary Journal Entry Transfers (JETs) to remove erroneous charges.
  • Provide process support and signature authorization/approval oversight on all expense transactions to ensure timely processing and compliance with NOA and related guidelines, including invoice payments, tuition remission, sub-contract agreements, incentives, stipends, equipment, supplies, travel and business expenses, purchasing order requests, bid solicitations, and related university payment and procurement systems.
  • Support accounts receivable functions by depositing checks and ensuring they are in the correct award FOAP.
  • Submit and vet specialized grant invoices per sponsor guidelines for accuracy.
  • Perform all close-out functions at the end of each project period, reconciling receivables against expenses and assisting with audits.

Required Education And Experience:

Bachelor's Degree and at least four years of directly related administrative and grant management experience. An equivalent combination of education and experience may be considered.

  • Technical proficiency in all applicable software programs and applications related to grant submission, reporting, and reconciliation
