Job description: Tempeo is recruiting an organised and proactive Office Manager for a trusted procurement specialist operating across automotive, energy and utilities services. This role is crucial to ensuring the smooth running of the Northampton office, managing the admin team and supporting the wider business to deliver excellent customer outcomes.

Key Responsibilities

Office and Team Support

  • Manage and coordinate the admin team, setting up daily priorities
  • Organise office activities and tasks for internal staff
  • Prompt team members to complete duties, reports and schedules
  • Arrange meeting rooms, deliveries, client paperwork and office maintenance
  • Manage correspondence, answer phones and welcome visitors

Financial Administration

  • Maintain and update the debtors list
  • Liaise with clients to follow up on overdue payments diplomatically
  • Support finance with basic invoice tracking and reconciliation
  • Assist with expense reports and payment run preparation

Scheduling and Logistics

  • Schedule and track deliveries, drop-offs and pickups
  • Keep shared calendars up to date with team commitments
  • Communicate with suppliers, couriers and contractors regarding site requirements

Office Operations & Maintenance

  • Keep office supplies organised and stocked
  • Coordinate maintenance, repairs and improvements
  • Manage relationships with landlords and contractors as needed

General Administration

  • Support and encourage the admin team to meet deadlines
  • Maintain accurate records and filing systems
  • Prepare and distribute internal communications
  • Assist with ad-hoc projects and tasks that support business growth

Who You Are

  • Naturally organised, dependable and hands-on
  • Excellent communicator who keeps calm under pressure
  • Comfortable chasing payments in a professional manner
  • Confident coordinating multiple tasks and priorities
  • Proficient with standard business tools (email, spreadsheets, shared calendars)

Job Types: Full-time, Permanent

Experience:

  • Office Management: 3 years (required)
  • Basic Finance Task: 1 year (preferred)
  • Office Operations and Administration: 1 year (preferred)
