Strategic Role: To ensure the department’s operations comply with Singapore regulations and align with the Standard Operating Procedures (SOPs) and policies set by TM Global, it is crucial to monitor and enforce adherence to both local legal requirements and internal policies. Regular reviews should be conducted to stay updated with regulatory changes, ensuring continuous compliance and operational efficiency.
Key Responsibilities:
- Compliance - Ensure adherence to local regulations by liaising with relevant authorities, such as IMDA. Ensure operations are in line with the policies approved by headquarters. Coordinate audit-related matters, addressing findings from internal or external auditors, and develop strategies for improvements based on their recommendations.
- Sales & Account Management Assistance - Provide support to sales representatives in preparing and managing agreements, including Non-Disclosure Agreements (NDA), Master Service Agreements (MSA), Memoranda of Understanding (MOU), and Letters of Intent (LOI). Maintain an inventory of sales orders and monitor their progress until completion, using trial billing as a reference. Assist in the preparation of sales reports and track performance metrics. Support the customer onboarding process by preparing required documents, such as NDA, company registration certificates, financial reports, and performing internal and external credit checks. Update and maintain client records, ensuring customer information is accurate in Salesforce.
- Finance Support - Support the sales and finance teams in coordinating payment collections. Assist sales and finance in resolving billing-related issues, including customer disputes, rebates, and adjustments. Assist sales & finance in verifying supplier invoices.
- Data and Reporting - Coordinate, manage, and prepare reports required by relevant departments, such as Sales Performance reports and Inventory reports.
- Product Knowledge and Training - Monitor and track the completion of required tasks or training by employees, ensuring timely compliance with HQ requirements, such as LinkedIn Learning courses or the NPS survey.
- Market Research and Analysis - Gather and analyse competitor information and market trends. Support the team with insights and recommendations to enhance sales strategies. Assist in researching potential business opportunities and identifying new clients.
- Communication and Coordination - Collaborate with internal teams, such as marketing and finance, to align on campaigns and promotions. Coordinate sales events, product launches, and other activities to support the sales pipeline. Ensure alignment between sales and support teams for a seamless customer experience.
Job Requirements:
- Degree in Marketing, Finance, or Business-related field preferred.
- Minimum 5 years of experience in sales planning, negotiation, coaching, process management, finance, reporting, and compliance.
- Strong skills in strategic planning, decision-making, customer understanding, product management, and managing profitability.
- Ability to manage processes, foster teamwork, and handle complex situations.
- Proficient in MS Office, especially Excel (creating formulas and data analysis).
- Positive attitude, self-motivated, and able to work independently.
- Strong customer focus with excellent interpersonal and presentation skills.
- Capable of managing multiple complex customer requests/tasks simultaneously.
