About the Role

This role exists to ensure the smooth, compliant, and high-quality delivery of bid and tender submissions. Sitting within the bids function and working closely with the Head of Bids and wider sales team, the Bid Coordinator is accountable for managing the end-to-end coordination of the bid process, maintaining structure and momentum across multiple opportunities. The role plays a key part in enabling the business to respond effectively to opportunities, supporting both the quality of submissions and overall win rates through strong organisation, communication, and attention to detail.

Key Responsibilities

  • Lead the end-to-end coordination of bid and tender submissions, ensuring all activities are clearly planned, tracked, and delivered to deadline.
  • Create and maintain bid plans, timelines, and action trackers, driving accountability and clarity of ownership across all contributors.
  • Manage the administration of the bid process, including scheduling meetings and maintaining momentum across stakeholders.
  • Oversee document management and version control, ensuring accuracy and consistency across all submission materials.
  • Review tender documentation to identify requirements and compliance criteria, translating these into clear and structured submission checklists.
  • Ensure all mandatory documentation is complete, accurate, and formatted in line with submission requirements.
  • Manage the upload and submission of tenders via procurement portals, maintaining full compliance with all guidelines.
  • Support content development by working with the Bid Writer and subject matter experts to draft and refine response content.
  • Maintain and evolve the bid library, ensuring boilerplate responses, case studies, and previous submissions are current and accessible.
  • Ensure consistency in tone, branding, and formatting across all bid submissions.
  • Act as the central point of coordination for internal stakeholders, ensuring timely input and alignment throughout the bid lifecycle.
  • Manage clarification processes by collating, submitting, and circulating questions and responses during tenders.
  • Support post-submission reviews and lessons learned to inform continuous improvement.
  • Take ownership of procurement platforms to identify and track relevant opportunities, supporting bid/no-bid decision-making.
  • Provide visibility of the bid pipeline, including upcoming opportunities and renewals, to support planning and prioritisation.
  • Contribute to the analysis of opportunities to support qualification and strategic decision-making.
  • Support the ongoing improvement of bid processes, tools, and templates, helping to increase efficiency, quality, and overall win rates.
