Job Purpose
Ensures that project documentation is properly captured, cataloged and controlled using project applied systems. Supports the quality elements of the project in performing quality related tasks to meet Client and quality requirements.
This is a fixed term contract position that can be based in Dunfermline, UK.
Job Description
The Project Document Controller plays a vital role in ensuring the success of the project by ensuring that all project documentation is accurate, complete, and up to date. By effectively managing and controlling project documentation, the role supports the quality engineers, and autonomously performs quality related tasks within the scope of the accountabilities. The role ensures that projects are completed on time, within budget, and to the required quality standards. This includes:
- Manage and control all project documentation throughout the project lifecycle. This includes creating customer records and document numbers, preparing documents for transmittal to the client, controlling all technical documentation related to the department and project activities, and handling and registering all outgoing and incoming transmittals.
- Ensure that all project documentation meets contractual requirements and Company procedures. This includes ensuring the confidentiality of all documents.
- Assist with the development, maintenance, and improvement of departmental/project document control work processes.
- Promotes a Quality culture on the project, ensuring implementation of best practices and continuous improvement of quality standards and systems.
- Implements an effective corrective and preventive action system and tracks closure of NCRs/QNs and waiver requests.
- Assists in the administration of project objectives and metrics (KPI), analyses performance, proposes corrective actions.
- Leads or participates in investigations to resolve quality issues.
- Facilitates the feedback process and leads the development and approval of QCP’s, ITP’s and other related documentation.

- Experience in a similar role.
- Knowledge of document control principles and best practices, including knowledge of document classification, filing and retrieval systems, and document version control.
- Knowledge of project management principles and practices, including knowledge of the project lifecycle, project documentation requirements, and risk management.
- Must be able to communicate effectively with a variety of stakeholders, including team members, clients, and senior management.
- Computer skills: Proficient in using a variety of computer software applications, including document management systems, project management software, and word processing software.
- Organisation: Ability to effectively organise and manage large volumes of documentation.
- Time management: Ability to effectively manage time to meet deadlines.
