Job Purpose

As the Administrative Assistant at our Odessa, TX location, you will play a vital role in organizing and coordinating all office operations and procedures. Reporting directly to the Operations Manager, you will work closely with the field management team and our corporate office to ensure the efficient functioning of our administrative functions.

Job Description

  • Responsible for organizing and coordinating all office operations and procedures, including, but not limited to:
  • Ensure appropriate administrative support is available for management, field personnel, and staff.
  • Procurement of all office supplies and equipment.
  • Copy/bind/mail informational materials.
  • Professionally answer and manage a multi-line phone system, including responsibility for customer service if an answering service is used.
  • To maintain a safe and professional work environment, collaborate with field office management regarding office cleaning, planning, or other repairs or maintenance.
  • Coordinate, plan, and carry out the steps needed to support local management with meetings or events such as routine office meetings, holiday parties, or other events supporting customer service or sales.
  • Assist other team members in organizing meetings, lunches, conference calls, shipping, or postal needs, and answering the phone on a multi-line system.

You are meant for this job if:

  • High School Diploma.
  • 2 years of experience in an office or operations coordinator role.
  • Strong administrative and accounting background.
  • Attitude to work professionally in a high-pressure environment while coordinating the needs of local management and headquarters’ request.
  • Organized and maintains strong people skills to professionally delegate and manage and work with other personnel as needed.
  • Computer savvy with excellent knowledge of Microsoft Office, SAP or similar databases, and comfort in learning company proprietary systems.
  • Accurate data entry with strong attention to detail.
  • Able to analyze and solve problems.

WORK ENVIRONMENT: Fast paced atmosphere with multiples priorities and constant change.

PHYSICAL DEMANDS: Approximately 90% of the day will be sitting and operating a computer. Other 10% will be walking, standing, bending, and crouching.
