The Role

We are looking for an Estates & Facilities Management Administrator to join our team.

This role requires a highly organised and proactive individual with strong administrative, communication and coordination skills, ideally within an estates & facilities or higher educational environment.

Main responsibilities

  • Provide administrative support to the Estates & Facilities team
  • Act as a key point of contact for enquiries, coordinating responses across teams
  • Support contractor management processes, including compliance documentation and record keeping
  • Maintain accurate systems, databases and records (e. g. TOPdesk ticketing system and compliance spreadsheets)
  • Assist with planned and reactive logistics coordination
  • Support health & safety processes, including documentation, reporting and tracking actions
  • Contribute to the smooth day-to-day running of Estates & Facilities operations

Key skills

  • Strong organisational and time management skills, with attention to detail
  • Excellent communication and stakeholder engagement skills
  • Ability to prioritise and manage multiple tasks effectively
  • Proficient in Microsoft Office and administrative systems
  • Experience working in a facilities & estates, or similar operational environment (desirable)
  • Awareness of health & safety and compliance requirements (desirable)

The ideal candidate will be a well-organised and motivated administrator with a proactive approach and a strong customer service mindset.

You will be comfortable working in a fast-paced environment, managing competing priorities and supporting a diverse range of activities across estates and facilities services.

A collaborative approach, problem-solving mindset and the ability to build effective working relationships across the University will be essential.
