The Role
We are looking for an Estates & Facilities Management Administrator to join our team.
This role requires a highly organised and proactive individual with strong administrative, communication and coordination skills, ideally within an estates & facilities or higher educational environment.
Main responsibilities
- Provide administrative support to the Estates & Facilities team
- Act as a key point of contact for enquiries, coordinating responses across teams
- Support contractor management processes, including compliance documentation and record keeping
- Maintain accurate systems, databases and records (e. g. TOPdesk ticketing system and compliance spreadsheets)
- Assist with planned and reactive logistics coordination
- Support health & safety processes, including documentation, reporting and tracking actions
- Contribute to the smooth day-to-day running of Estates & Facilities operations
Key skills
- Strong organisational and time management skills, with attention to detail
- Excellent communication and stakeholder engagement skills
- Ability to prioritise and manage multiple tasks effectively
- Proficient in Microsoft Office and administrative systems
- Experience working in a facilities & estates, or similar operational environment (desirable)
- Awareness of health & safety and compliance requirements (desirable)

The ideal candidate will be a well-organised and motivated administrator with a proactive approach and a strong customer service mindset.
You will be comfortable working in a fast-paced environment, managing competing priorities and supporting a diverse range of activities across estates and facilities services.
A collaborative approach, problem-solving mindset and the ability to build effective working relationships across the University will be essential.
