The Role: A high-impact Dual EA role supporting the COO and CFO at the centre of the business. You’ll manage diaries, travel, and communications, while also owning board materials, confidential projects, and cross-functional coordination across finance, operations, HR, legal, and expansion. This is a trusted, central position with visibility across nearly every part of the company. You’ll be operating in a fast-paced, high-growth environment where priorities shift quickly and judgement matters.

Key Responsibilities:

  • Own complex diary management across multiple time zones, ensuring priorities are protected and time is used effectively.
  • Plan and deliver seamless international travel, including flights, hotels, transfers, visas, and detailed itineraries.
  • Produce high-quality board, leadership, and investor materials, ensuring accuracy, clarity, and timely delivery.
  • Act as a gatekeeper and proxy via inbox management, drafting responses and surfacing what matters most.
  • Take ownership of meeting outputs — capturing minutes, tracking actions, and following through to completion.
  • Manage expenses, reconciliations, and supplier administration with accuracy and attention to detail.
  • Coordinate confidential, cross-functional projects across HR, legal, finance, and operations.
  • Plan and deliver executive events, including offsites, client dinners, and visiting leadership programmes.
  • Work closely with Office Operations, HR, and Marketing on broader cross-functional initiatives.

Required:

  • 3+ years as an EA or PA to C-suite, ideally in a fast-moving SME or high-growth business.
  • Experience supporting more than one executive simultaneously.
  • Exceptional written communication — able to draft in someone else’s voice with precision.
  • Comfortable with finance administration (POs, expenses, invoice queries) and strong attention to detail.
  • Discretion with sensitive commercial, financial, and personnel information.
  • Excellent judgement and prioritisation in a fast-moving environment.
  • High proficiency with Microsoft 365 (Outlook, Teams, SharePoint, Excel, PowerPoint).
  • Supporting a CFO or finance team (month-end, audit cycles, board reporting).
  • International expansion, M&A, or office openings.
  • AI productivity tools or workflow automation.
  • Project coordination or PMO-style experience.
