Plymouth Full-Time On-site

Love the buzz of coordinating people, solving problems and keeping a busy operation moving? Perhaps you’re a Recruitment Consultant running a temps desk and fancy something different. Or you have experience in staffing, hospitality or events and enjoy bringing order to changing plans. Tech Talent House is recruiting an Office Manager / Staffing & Events Coordinator for an established, founder-led events business in Plymouth. With individual festivals and live events involving up to 300 crew members, this is a role where your organisation, people skills and attention to detail will make a real difference. The opportunity Working closely with the founders and on-site team leaders, you’ll coordinate crew availability, staffing arrangements and practical logistics across multiple events. The team leaders manage the crew on site. You’ll keep everything connected from the office, making sure changes are communicated, information is followed up and hours and pay rates are accurate. This is a great opportunity for someone to bring fresh ideas, take ownership and make the role their own. What you’ll be doing • Coordinating crew availability, bookings, rotas and shift schedules across multiple events. • Responding to last-minute staffing changes, call-outs and changing requirements. • Keeping track of start times, locations and arrangements, ensuring everyone affected receives clear, timely updates. • Checking timesheets and recorded hours, ensuring cteam members receive the correct pay rate. • Following up with event team leaders for outstanding information and administration. • Liaising with promoters, project managers, venues, clients and suppliers. • Helping coordinate transport, equipment hire and other practical event requirements. • Supporting crew job adverts, vetting, onboarding, training coordination and personnel records. • Managing office correspondence, supplies and equipment inventories. • Supporting basic bookkeeping, invoice processing and expense tracking using Xero. • Maintaining health and safety administration and records. • Keeping scheduling software, spreadsheets and office records accurate and up to date. • Helping improve processes and pitching in with the wider team. • Occasionally visiting event sites to understand the practical arrangements and what the crew need. Who would thrive here? You’ll enjoy getting stuck in, thinking on your feet and adapting when plans change. Live events bring last-minute requests, staffing changes and shifting priorities, so you’ll need to pivot quickly while keeping track of the detail. You’ll be proactive and resourceful, comfortable picking things up as you go, learning through observation and asking questions. When you don’t know something, you’ll seek out the answer and follow it through. Just as importantly, you’ll be warm, approachable and respectful of the crew who make these events happen. You’ll know how to chase information firmly but tactfully, maintaining good relationships while getting what you need. Relevant experience This could particularly suit a high street Recruitment Consultant, Temps Consultant or Recruitment Coordinator who enjoys the operational side of staffing. Experience coordinating temporary workers in industrial, hospitality, commercial or events recruitment would transfer well. We also welcome backgrounds in workforce scheduling, hospitality operations, events coordination, logistics and busy office management. You’ll bring: • Experience coordinating people, schedules or multiple moving parts. • Excellent attention to detail and the ability to retain information and follow things through. • Confidence checking hours, pay rates and records for accuracy. • Strong communication skills with people from a wide range of backgrounds. • A calm, practical approach under pressure. • Confidence using Excel, spreadsheets and office systems. • Honesty, reliability and discretion. • A helpful, hands-on approach and willingness to support your colleagues. Basic bookkeeping experience would be advantageous, but is not essential. Familiarity with Xero or staffing software such as Parim would also be useful, but is by no means essential. Previous festival or live events experience isn’t essential. Your transferable skills, attitude and willingness to learn matter more than an exact previous job title. What’s on offer? • Salary dependent on experience, plus a profit-share bonus. • A varied role supporting festivals, concerts and live events. • A friendly, close-knit team with a sense of humour. • The opportunity to work directly with the founders and become a valued part of the business. • Scope to bring ideas, improve processes and shape how the role develops. • Usual hours of 8am–4pm, Monday to Friday. • Flexibility and scope for hybrid working. Location and working arrangements You’ll be based in Plymouth, with Mondays and Fridays essential office days. There’s flexibility on the other days, with scope for hybrid working. More office time may be helpful initially while you get to know the team and learn the business. A driving licence would be useful for occasional site visits, practical trips or deliveries. Occasional evening or weekend support may be needed during peak periods, with flexibility to take time back. June and July are particularly busy, so holidays are ideally taken outside these months. Some exceptions may be possible depending on cover. Please flag any existing summer commitments during the recruitment process. A January start is planned, with the opportunity to visit the office beforehand and meet the team. Plymouth | Scope for hybrid working Salary dependent on experience + profit-share bonus Permanent, full-time | Monday to Friday, usual hours 8am–4pm Interested? If you enjoy organising people, adapting to changing plans and seeing things through, we’d love to hear from you.
