We are looking for a detail-driven Operations Administrator to join our team and provide essential support across recruitment operations, personnel administration, travel coordination, compliance, data management and general operational activities. This is an excellent opportunity for an experienced administrator looking to develop their career within a busy and specialist recruitment environment. The successful candidate will gain valuable hands-on experience across candidate and contractor management, travel arrangements, documentation, onboarding, compliance and day-to-day operational support within a growing business. We are looking for someone who is highly organised, proactive and detail-focused, with excellent communication skills and the ability to manage multiple priorities while maintaining accurate records and meeting deadlines. Roles and Responsibilities * Assist with the management of the shared inbox and individual work email accounts, ensuring correspondence is dealt with promptly and appropriately. * Arrange travel and accommodation for personnel, as well as booking relevant courses and training. * Manage GDPR-related correspondence and administrative requirements. * Manage Starters and Finishers, ensuring personnel records and availability dates are kept accurate and up to date. * Maintain accurate and real-time records of personnel availability. * Manage the Current Contractors spreadsheet, ensuring all personnel have: * Valid and current contracts * In-date certifications and qualifications * Next of Kin (NOK) information * Current appraisals * Up-to-date references * Liaise with the Finance team regarding travel expenses and related queries. * Prepare and issue contracts in a timely manner, ensuring all required documentation is completed and returned. * Manage iCapture, including the registration and administration of new candidates. * Provide administrative support to candidates relating to visa applications and requirements. * Maintain and update the travel spreadsheet, ensuring all information is accurate and current. * Complete client forms relating to Next of Kin (NOK), passport and other required personnel information. * Provide ongoing administrative and operational support to the recruitment team in their day-to-day activities. * Undertake any other reasonable duties as required by the business
