About the role
We are seeking an organised and detail-oriented Operations & Logistics Co-ordinator to join our growing team. In this role, you will support our daily operations, balancing essential office administration and the logistics of our placement processes. The ideal candidate will maintain efficient office workflows, keep accurate digital records, and ensure all contractors have their travel, compliance documents, and contracts fully prepared and up to date.
You don't need previous offshore or crewing experience. If you thrive in fast-paced environments, are highly organised, confident using Microsoft Office, comfortable managing detailed records, and enjoy helping people, we'd love to hear from you. Full training on our systems and industry-specific processes will be provided.

- Monitor personal work email and assist with the shared inbox.
- Manage 'Icapture' in Voyager (registration of new candidates).
- Maintain and update candidate profiles, expiry dates, and compliance records in our CRM database.
- Administer and verify candidate compliance checks, including right-to-work documentation, references, and certifications.
- Verify and track mandatory offshore certifications, including BOSIET/FOET, HUET, STCW, and industry-specific medical clearances (e.g., OGUK, ENG1). Complete internal forms.
- Prepare, issue, and track digital employment contracts.
- Support candidates with visa requirements, travel and passport letters.
- Manage the 'Current contractors' spreadsheet - ensuring all personnel have contracts, in-date certifications, contractor registration forms, appraisals, and references.
- Keep all personnel availability records up to date to ensure candidates real-time availability.
- Coordinate travel, accommodation, and course booking logistics for candidates.
- Arrange last-minute travel changes due to delays and schedule changes.
- Maintain and update the travel spreadsheet. Communicate with the Finance team regarding travel expenses.
- Any other reasonable duties as required.
